Ashley PTA Executive Board Meeting October 22, 2013 The regular meeting of the Ashley PTA was called to order on October 22, 2013 at 6:02 p.m. in Room 504 by PTA President, Meredith Smith, Laura Hairston, acting as secretary. President s Report Major issue not meeting quorum (need 12 executives) o Do we change meeting time? o Required to meet quorum to make decisions o Bylaws and reasons to remove if you miss 3 consecutive board meetings o Encourage each other to make it a priority Treasurer s Report Treasurers Report presented by Pam Rowe. Report showed: Beginning balance of $12,667.09. Total Income $8,514.27. Total Expense $1,869.22.00. And ending balance of $2.66. Council Delegate Report Jennifer May 3 is Roughriders Night ($10 to get in park, $20 for park, plus parade, etc. and $5 parking) Allison Miller chairman of the Community Relations Committee for the Frisco Education Foundation talked about scholarships available Ryan Easom talked about Kids Teaching Kids program Dr. Lyons talked about rezoning of Independence High School & Gary Burns Fun Run Dates to remember: o Tricks And Treats (October 25) w/frisco Human Society o Community Parade (November 9) Ways and Means Christa Richardson Ashley Dash October 31 o Thursday, October 24 snacks and drinks in break room and available to answer questions teachers may have about Ashley Dash o Mascot attending lunches Thursday (10/24) and Tuesday (10/29) o Pledge forms went o Sorting Kids TShirts on Tuesday morning at 9 AM & will deliver to students Wednesday after school o Need volunteers o Need outdoor extension cords, water coolers, and tables
o Laurie Weeks will send email and attach pledge sheet this week o Talk it up and wear your tshirts o Will have adult tshirts the day of Ashley Dash o Stacy making signs to put around the front of school o Online Donations A quorum was now established. Hospitality Holly Blackstar Breakfast for Teachers on Friday AM, October 25 (set up Thursday, October 24 at 1:30 PM) Cookie Exchange in December along with the Ashley Dash Prize Winner Programs Melissa Stafford Reading Under Stars & Art Night went well & very successful Mr. Blues Shoes on Friday, October 25 Aim for Success Birds & Bees (Spring) o $395 with $50.00 discount if over 50 adults attend o 1 hour program Drum Café (April) Individual Grades using money for their own programs Membership Lori Bettencort 450 members (5 more to get 20% increase from last year) Cards will go out soon and be delivered to parents before board members o Username Diversity o Password Means Room Parent Coordinator Angela Maroney All classes filled All head parents assigned Money no more reminders; budget will be sent soon $6,268.00 for Class Parties equivalent to same as last year but more students Spirit Store Some items still not here but working with the company Watchdogs Donald Ingram Have spots filled for October & November December need 7 days filled After holidays, 1 more flyer Daring you to come to school Add to Newsletter & Website Get testimonials from dads involved to encourage others to sign up
Bring Your Dad to Lunch Day (possibly January) o Calendars & Fliers available o Pics of Watchdogs and information on the screen in cafeteria Volunteer Coordinator Dianna Jordan Need volunteers for Ashley Dash At events, please initial and place your hours worked Get information to Dianna if needing volunteers New calendar works well but a few negatives (sending individual reminders & only Dianna can make edits) Newsletter Looks good! Healthy Lifestyles Report from Melissa Walker Kids Teaching Kids program where high school students teach children about making healthy snacks while parents meet with a dietician o No Cost o Possibly January or February o Dr. Lyons is very big into this initiative o Now offering cookbooks for K-5 th grades Colleen to follow up with Melissa Walker on the grant to submit by November for February $1900 from Texas PTA) Walk to School Day was great! Bookfair Set a record of $16,000 Money goes towards books for library and towards scholastics bucks Get report of where money is being spent Parents more inclined to spend if they know where the $ goes Laurie Weeks has influence on where scholastic bucks are spent Last year, some money went towards shelves and magnifying glasses Arts in Education Forms for Reflections Night went out and due November 5 th Web & Social Media Amy Dougherty Updating Facebook (FB) regularly Need to ask parents on FB to send in pics to put on Instagram Lawn Signs this week

Add Spirit Store to web with pics Possibly add Community Partners on web in list form as supporters of Ashley PTA New Business Board Meetings November, February, & April Attach General Meetings to a School-Wide Event o Possibly April have the Multicultural Night o Possibly February for Healthy Lifestyles Directory Stacy stepped down Schools now doing online directory but PT Avenue does not offer it Must have everything from parents cannot show children that have not sent in information All information was on Info Snap with check box of using information Can we do electronic or spreadsheet? Old Business Conflict of Interest o Most have signed, but, still need a few signatures Send all LOT Dates (Money & Year) to Laura Hairston Brought up moving some Standing Committees to Special Committees so we are able to minimize some numbers and meet quorum every meeting o Special Committees dissolve after the event takes place and does not count towards quorum o Standing Committees are all year & count towards quorum Bring up in next meeting and vote on the change o Standing Teacher Appreciation, SAGE, Social Media & Web, Newsletter, Healthy Lifestyles, Watchdogs, Spirit Store, Bookfair, Hospitality, Room Parent, Volunteer Coordinator o Special Multicultural Night, Variety Show, Roughriders, Box Tops, Bulletin Board, Thursday Folders, Concessions, Directory, Library Programs, Environmental, Arts in Education o Pam Rowe made a motion to create the following Standing Chairs Social Media & SAGE o Motion seconded o Motion passed February need to form Nominating Committee
