1 VOLUME 12, NO January 2008 General Meetings Tuesday, January 8th, :00 PM Wednesday, January 9th, :30 AM DROP-OFF INFORMATION FOR THE QUILT SHOW NON-JUDGED QUILTS All non-judged quilts should be brought to the January meetings, January 8 and 9, Before dropping off your quilt, be sure to prepare it properly for our show: All quilts need a hanging sleeve. Quilts over 30 in any direction must have a sleeve 4" deep; quilts under 30", including miniatures, need a 2" sleeve. Sew the paper ID label to the quilt back (on the lower left corner when viewing your quilt from the back). Journal quilts need an ID label sewn to each quilt. All quilts should be clean and odor free. Place your quilt in an appropriately sized cloth bag or pillowcase with the paper ID attached, centered near the opening of the bag. Use a separate bag or pillowcase for each entry. Journal quilts count as a single entry, so use one cloth bag for this entry. JUDGED QUILTS All judged quilts should be dropped off January 2-4 (Wednesday through Friday) at one of the following locations: Eastside: Phyllis Spalla 9592 E. Grant Road, Suite ALL entries in the three-dimensional category must be dropped off with Karen Fisher N. Isabelle Cruz Call ahead to make an appointment to drop off your quilts. Keep in mind these ladies have volunteered time and space to collect quilts. Please be respectful of their schedules; they will not be available every minute of every day, so plan ahead. Be sure your quilt is clean and odor-free, and prepare it with a sleeve, paper ID tag, and cloth bag as outlined above. QUILT SHOW CD S ON SALE NOW! Be sure to reserve your copy at the January meeting, as the price goes up after the show. The prices for the CD s are: $5 presale, $10 at the show. 1 Are you concerned about the TCC Parking for this year s show? You should be! There will be limited parking, due to construction. Plan on having a spouse drop you off, or carpool with your favorite quilting buddies! There is nothing worse than being late for your hostess shift, because you were roaming the parking lot looking for any available space.

January Bee News Beekeeper: Pam Ashbaugh or mdashbaugh@cox.net Bringing in the New Year with a New Bee!! Jan Pullen ( rpullenr@msn.com) and Beth Glass ( quilthorse@worldnet.att) are going to be starting a new bee in the NE area of town. They plan to meet on the first Tuesday of the month. Their first meeting will be Feb. 5 th. Please call either Jan or Beth for directions. NW Area THE HONEYBEES ARE ACTIVELY SEEKING NEW MEMBERS. They meet the 3 rd Tuesday from 1-4 pm at members homes (Oro Valley, NW and Catalina Foothills). They share ideas, techniques and tips, work on one s own project or charity quilts and have fun. All levels of quilters are welcome. Judy Smith Central Area Himmel Park (Ruth Campbell) This bee meets at 6 pm on the 3 rd Wed. at Himmel Park. Central Area Art Quilters They meet on the 3 rd Wed. at 10 am at Bellas. Central Area Pacific Rim (Louella LeCompte) They meet on the 3 rd Thursday from 1-3 pm at Bellas. They specialize in Asian icons, motifs and patterns. Green Valley Area North of the Border (Babs Phillips) They meet at the Evangelical Free Church at 1393 W. Mission Buttes Road on Thursdays from 9:30-noon, SE Area Sew and Sews (Lucy Dahn). They meet the 3 rd Thursday at 1 pm at the library at Golf Links and Harrison. NW Area Material Girls (Caroline Schau) They rotate homes on the 1 st and 3 rd Thursdays at 1 pm. Continental Ranch/Twin Peaks Area (Lee Ellen Cash) Her bee meets the 3 rd Friday on each month at 10 am in her home. NW Area Quilting for Others (Flora, and Pam, ) meet at the Cactus Quilt Shop to work on quilts for Tucson charities. 2

3 QUILT FIESTA! Remember to take quilts to be judged to the addresses indicated on the entry forms by Jan. 4th. Be sure to cover your name with tape on the paper labels if your quilt is to be Judged. All other quilts to be turned in by the Jan. guild meetings. Show Pins will be on sale at the Jan. meetings. After dropping the Boutique percentage from 25% to 15%, we are happy to say several more people are participating. TCC parking will be scarce, so be sure to arrive early so you will be on time for your Hostess shift.( And also to allow for shopping time.) Mary Bazzano still has Hostess positions to fill, especially sit down Hostess Positions. Donations for Door Prizes are coming in, but if you or anyone you know has any goodies they want to contribute, please call Kathy Harris. Be thinking about what committee position you might want to fill for the 2009 Quilt Show. Thanks, Flora and Pam QUILTING FOR OTHERS In Dec. TQG donated 27 quilts to Handmakers Assisted Living home and 18 Baby quilts to Child and Family Services.We received wonderful Thank-You's from both places. Again, many, many thanks for coming through with the 60 quilts for KIN. They were over-whelmed with the generosity of our wonderful guild. They presented us with a beautiful framed Certificate of Participation. We donated well over 400 quilts in What a wonderful year for QFO. Now that we have a great storage room to work in, we are again accepting fabric and batting donations. Thanks so much for all your wonderful help. Flora and Pam 3

4 PLACEMATS I hope that you all have had a Happy Holiday and are looking forward to our big show. Be sure to look at the display that Shari Thompson has done. She has included the work of the placemat committee in her community display. This month we collected 129 placemats from Nancy Clark. Mobile Meals has been very happy with all the placemats we have given them as they try to give new ones to many of their clients in the month of December. Remember, they also share what we give them with the Salvation Army and Meals on Wheels so our placemats are really getting around to the community shut-ins. PRESIDENT S BLOCK Beth Glass, our favorite cowgirl, has done a wonderful job as Guild President this year. It s a longstanding tradition to present our out-going President with a quilt block of her choice, and Beth s is a 9 patch. We ask that each member make a 6 ½ block (finished size 6 ) with the 9 patch pattern. She likes jewel tones, so use those for the four corners, select a neutral or light color for the blocks in the middle top, bottom and sides, and for the center, select a fabric (if you can fine one) that is horse or Western or cowgirl related. Please turn your blocks into me, or any Board member but NOT Beth, at any of the upcoming meetings. You have until March, when I'll make the official presentation to her, so I ll keep reminding you! Get your newsletter online! BLOCK OF THE MONTH We sure had lots of cute "Curious Kitten" blocks at the December Holiday Tea meetings! Congratulations to our winners--odie Elliott took home 12 kitties on Tuesday, and Joline Albaugh and Carol Ann Keck took home 12 each on Wednesday. Have fun playing with your new kittens, and we sure hope you'll show us if you make them into a quilt! At our January meetings we will have the drawings for your "Jewel Box" blocks. These are very easy 6" blocks, so grab some bright colored scraps and make up a bunch--you could be a lucky winner this time! (The pattern was in the December newsletter.) These will really make a wonderful quilt! In this issue of the newsletter, you'll find the pattern for "Playful Puppy". He (or she) could be presenting you with a Valentine heart, or maybe a bone or his favorite toy, or just begging you to play with him! This block is quick and easy to make with fusible applique, or use your favorite Method. Hope you'll have fun making one (or several) for our February drawings! In keeping with the Hall of Fame s mission, the organization s website will not only provide current information about HoF activities and Arizona quilters in the news, but also provide a monthly feature showcasing an Arizona quiltmaker and her/his work. Winners of the Arizona Quilters Hall of Fame Award ribbon at shows and/or exhibits throughout the state will appear on the website. If your chapter or group is planning a show, please visit the website to find out how your event can be listed and how you can participate in the Hall of Fame Award Program. The first HoF ribbon was awarded to Terry Allen of the Arizona Longarm Quilters for her quilt, Fill Er Up, at the Longarm Quilters President s Challenge. Congratulations to her! Nominations for the first inductees into the Arizona Quilters Hall of Fame will be accepted beginning in March Finalists will be named in June and the first inductees will be celebrated at a luncheon event in September. Nomination forms will be available on-line or from AZHoF, 4802 East Ray Road, Suite , Phoenix, AZ To join the Friends of the Arizona Quilters Hall of Fame, please visit the website where your credit card is accepted or call to request a brochure. Both individual Friends and organizational Friends are welcome. An exciting and inspirational 2008 is on the horizon for the Hall of Fame! Check the website often for news and information. 5

6 REVISED BY LAW CHAGE PROPOSAL EFFECTIVE DEC. 5, 2007 The Tucson Quilters Guild By-laws are the operating guidelines for Guild members activities. The By-laws Committee, chaired by Kenci Lewis, First Vice President, has identified issues and made recommendations (following) that will clarify these guidelines. NOTE: THIS IS A REVISED BYLAW PROPOSAL (effective Wed, December 5, 2007). PLEASE TAKE TIME TO READ OVER THE ITEMS AND DIRECT ANY CONSTRUCTIVE COMMENTS AND/OR DISCUSSION TO Kenci Lewis or send an to 1stvp@tucsonquiltersguild.com Voting on these items will take place at the General meeting in February and each item will be voted on separately. ITEM 1: ARTICLE II: MEMBERSHIP Section 2: A prospective member may elect to become a full member. Issue: There is no category of membership called prospective member, only full member or honorary member. Section 2: Guild membership is limited to full member and honorary member. ITEM 2: REMOVED FROM ORIGINAL PROPOSAL ITEM 3: ARTICLE II: MEMBERSHIP Section 2B: Honorary membership may be awarded for outstanding service to the Guild. Names of proposed honorary members shall be presented and voted upon at a business meeting. Issue: A decision about honorary membership should be reflective of the entire membership, not just those attending the business meeting. Section 2B: Honorary membership may be awarded for outstanding service to the Guild. Names of proposed honorary members shall be presented and voted upon by the general membership. ITEM 4: ARTICLE IV: BOARD OF DIRECTORS Issue: The Endowment Chairperson and the Membership Chairperson, because of the nature of decision making for funds that are a significant part of the annual Guild budget and for which accountability must be maintained, should be elected positions and these positions should be part of the Board of Directors. The Endowment Chairperson would appoint an Endowment Committee consisting of six Guild members, and the committee would be responsible for administering the Guild Grants Program. The Membership Chairperson would appoint an assistant and may form a committee to assist with membership duties. Section 1: The Board of Directors shall consist of fourteen (previously twelve) elected officers as follows: President, First Vice- President, Second Vice-President, Recording Secretary, Treasurer, two Program Co-Directors, Past President, two Quilt Show Co- Chairpersons, two Members-at-Large, Endowment Chairperson and Membership Chairperson. ITEM 5: ARTICLE IV: BOARD OF DIRECTORS Section 3: The Board of Directors will hold an annual meeting as required by the Articles of Incorporation. Said meeting may be held in conjunction with the annual budget meeting. Issue: The By-laws do not contain a provision for responsible and timely turnover of Board documents and equipment, including laptop computers, from the outgoing Board members and committee chairs to the incoming Board and committee chairs. In years past, incoming board members have been hampered in their duties and have had to reconstruct and recreate policies and procedures. Proposed additional wording: The Annual Meeting shall be held two weeks before the March business meeting. At this time, the outgoing Board President will transfer to the incoming President the following: Guild equipment, including all laptop computers and software; Guild administrative documents, including, but not limited to, Guild Articles of Incorporation, current Guild By-laws, job descriptions for elected officials and standing committees, and annual committee reports, notes and documentation from that term. ITEM 6: ARTICLE V: MEETINGS Section 1: A BUSINESS MEETING, which is open to all members, shall be held on the first Wednesday of each month at 9:30 AM at a place designated by the Board of Directors. Issue: The meeting day and time does not encourage attendance at business meetings by members who work and/or have other obligations during the day. Given the size of the Guild and the scope of its activities, the business meeting should be available to all members. By changing the wording on this by-law, business meetings will still be 6

7 CON T REVISED BY LAW CHAGE PROPOSAL EFFECTIVE DEC. 5, 2007 the week before the General meeting, but may be conducted during the evening or the day, with an eye on alternating each month. A Business Meeting, which is open to all members, shall be held at least monthly and prior to the General meeting at a place and time designated by the Board of Directors. ITEM 6A: ARTICLE V: MEETINGS Section 1A: A quorum for business meetings will consist of at least seven members of the Board of Directors and at least three Standing Committee chairmen. Issue: If the Endowment Chairperson and the Membership Chairperson are to be members of the Board of Directors, the quorum number must be changed. Also, the word chairmen should be changed to chairperson. Section 1A: A quorum for business meetings will consist of at least nine members of the Board of Directors and at least three Standing Committee chairpersons. ITEM 7: ARTICLE VI: OFFICERS Section 1: The elected officers of the Guild shall consist of President, First Vice-President, Second Vice President, Recording Secretary, Treasurer, two Program Co-Directors, Past President, two Quilt Show Co-Chairmen, and two Membersat-Large. Proposed additional wording: Endowment Chairperson and Membership Chairperson. ITEM 8: ARTICLE VI: OFFICERS Section 2: The term of office shall be one (1) year, beginning March 1. Officers shall serve no more than two consecutive terms in the same office. Issue: The Guild would benefit from continuity and acquired learning of Board members if such members, if willing, were allowed to serve more than two consecutive terms. Some elected officials, such as Quilt Show Co-Chairs, Programs Co-Chairs, Secretary, Treasurer, Members at Large, and others are still learning their position responsibilities after one year of service, and if elected for a second term, are feeling more confident and making greater contributions to the smooth running of Guild operations. We propose the consecutive years of elected service be limited to five years, the term of office would still be one year, and, most importantly, that the General Membership would still be required to vote each year for all Board positions. Annual elections for these positions would protect the Guild from any potential dynasty building. Section 2: The term of office shall be one (1) year, beginning March 1. Officers shall serve no more than five (5) consecutive terms in the same office. ITEM 9: ARTICLE VI: OFFICERS Section 3A: PRESIDENT To preside over all meetings, to be an ex-officio member of all committees except the nominating committee, to appoint or dismiss committee chairmen with the approval of the Board of Directors, to coordinate the work of appointed committees and act as liaison with other needlework groups or with community authorities, to initiate an annual internal audit by the end of his/her term. Section 3B: VICE-PRESIDENTS To perform the duties of the president in the temporary absence of that officer and together will initiate an annual review of By-laws and Guidelines for all Board positions, Standing Committees, and Additional Committees. The First and Second Vice-presidents shall preside over either the daytime or evening meetings in the absence of the President. In the event of a vacancy in the office of President, the First Vice- President automatically becomes President. Section 3D: TREASURER To take custody of all money received by the Guild, to deposit funds promptly in the Guild s bank account(s), to disburse all funds by check to cover Guild obligations, to keep a record of all funds received and disbursed and complete a treasurer s report monthly, to file appropriate annual tax documents. Issue: The roles and responsibilities of the President, First Vice President and Second Vice President should be more clear and equitable. The duties of the Treasurer should include submitting to an annual financial audit. Also, the succession of offices in the event of a vacancy in the office of President should be clarified. Proposed removal of wording: Section 3A, last line: remove to initiate an annual internal audit by the end of his/her term. 7

The Second Vice President shall initiate an annual internal financial audit by the end of each fiscal year. The First and Second Vice-presidents shall preside over either the daytime or evening meetings in the absence of the President. In the event of a vacancy in the office of President, the First Vice-President automatically becomes President and the Second Vice-President automatically becomes First Vice-President. Proposed additional wording to Section 3D at the end: And to submit to an annual financial audit. ITEM 10: ARTICLE VI: OFFICERS Issue: Add the Endowment Chairperson and the Membership Chairperson to the list of Officers and describe responsibilities. Section 3I: ENDOWMENT CHAIRPERSON to oversee the Endowment Committee, consisting of six members appointed by the Endowment Chairperson. The committee is responsible for administering the Guild grants program. Section 3J: MEMBERSHIP CHAIRPERSON to manage the membership data base, collect membership applications and dues, collect guest fees, distribute rosters, organize new member teas. This position may form a committee, overseen by her/himself to assist in performing the Membership activities. ITEM 11: ARTICLE VII: STANDING COMMITTEES Issue: The annual financial audit should be overseen by a committee that is representative of Guild membership and should be trained to conduct such an audit by the Guild CPA. Propose adding this section: Section 1K: Audit Committee formed and overseen by the Second Vice President. Will administer the annual internal financial audit. The Committee shall consist of three non Board Guild members to be trained by the Guild CPA. ITEM 12: ARTICLE XII: GENERAL GUIDELINES Issue: For continuity and consistency in Guild operations, job descriptions for elected officials and standing Committee should have up to date job descriptions. Propose adding this section: Section 2: All elected positions, standing committees and Quilt Show subcommittees will have written job descriptions, which shall become part of the Guild administrative documents. Who: What: All Members The Guild Basics Business Meeting First Weds of every month in the Church Classroom General Meetings - second Wednesday of the month in the morning or the Tuesday evening preceding the second Wednesday - in the Parish Hall. When: Business Meeting 9:30 AM ~ 10:30 AM General Meetings: Tues Evening 7:00~9:30 PM. Wednesday 9:30 AM~12:00 PM Where: St Frances Cabrini Church 3201 E. Presidio Near Fort Lowell and Country Club (How): Parking Why: Guild members are asked to refrain from parking in the spaces in front of the Parish office; the Church wants these spaces to remain open for Church members who have business to attend to in the office. This is the small building to the east of our meeting room. We are welcome to park in any of the other spaces on the church property. Doris Emer, the Guild parking monitor, does a great job patrolling this and she ll let you know if you are in violation! Come to get involved with all aspects of the Guild, to make new friends, learn new quilting skills, share, but most of all, to have FUN. 8
