4 Brothers and Sisters of the Indiana Elks Association, The extreme honor of serving as State President of the Indiana Elks Association for cannot be expressed with words. It is also exciting for this year to be the 150 th Anniversary of the Benevolent and Protective Order of Elks. An anniversary is a time to celebrate; but, it is also a time to REFLECT. The ELKS have tenaciously endured two World Wars, a great depression, periods of civil unrest, and cultural change. This anniversary should also be a time for us, as ELKS, to REFLECT on ourselves and evaluate the quality of our individual performance. Our conduct should assure that we are contributing to healthy environments within our Lodges. We must be conscious of the words we use and attitudes we display to ensure that new and existing members will desire to become involved in our Lodges. With that in mind, I have chosen the theme of Be the Reflection of Elkdom. We should strive every day to be cooperative in spirit, abhor dissention, stay faithful to our obligations, and contribute to the type of environment within our Lodges that will organically attract additional membership. I sincerely believe that making our Lodges Happy Places can provide sanctuaries for folks to retreat when they are weary of struggling through a period in our society that is filled with overwhelming divisiveness. Let s join hands and show that Indiana Elks Lodges can be glowing examples of Hoosier Hospitality. Together, let s Be the Reflection of Elkdom. Fraternally and Respectfully, Randy J. 5 My Brothers and Sisters, It is indeed an honor and privilege to be your State Sponsor. As with many great organizations, the Elks of Indiana are working hard for our Veterans, children, those less fortunate and with your cancer research program, thereby continuing many proud traditions. Every Indiana Elk should be proud of these accomplishments and should strive diligently to continue these proud traditions. As your State Sponsor, please know that I always walk just a little taller when I have the chance to speak about what my Indiana Elks do for our great Order. During this upcoming year, you will hear the many achievements of the programs of your State Association and Grand Lodge and perhaps, even how we all as Elks may better realize the goals for our course into the future. Once again, let me express my deepest appreciation for the support and friendship that you have given me over the years. 66 Lodge Protocol for Dignitary Visitation These guidelines are offered for the Lodge s preparation for the visitation of the State President. This is a guide, not a set of rules. If you follow this, you will make the event easier for all concerned. Your officers, Lodge members and staff will know what is expected. The President will be spared any surprises, as these are the forms of protocol to which he is most accustomed. Setting the Date: Set the date of the visitation as soon as possible. After you have set the date verbally, confirm it in writing. Lodge Financial Responsibility: The Lodge should bear these expenses if at all possible. Lodging: The Lodge should pay for the President s lodging. If the lodge cannot afford it, do not feel that you must provide it. However, if you cannot pay for lodging, inform the President so that he may make his own arrangements. Room Amenities: If you wish, it s a nice gesture to place a small welcome gift in the room of the visiting dignitaries (not only State President but Grand Lodge Officers as well) This should depend on the length of the visit; ex. more than one night. Dinner and Drinks: The President and First Lady s dinner and drinks should be complimentary. Inform the reservation person, bartenders, and staff of this arrangement in advance. Transportation: The President is responsible for his own transportation to the motel/hotel. The lodge should provide transportation to and from the Lodge during his visit, and for any other events during his stay, if he so desires. Dress Code: If there is a theme (Western, Hawaiian, Casual, etc.), or if it is to be a formal event you need to inform the President and First Lady well enough in advance for them to be prepared. If there are any tours, entertainment, or special events planned, be sure that advance notice is also given. 64

67 Head Table: Provide a podium and/or microphone (if necessary due to room or crowd size). The order of seating precedence is listed in descending order. If you have less seating, cut from the bottom up. Introductions: Each President has his own criteria for introductions. The Exalted Ruler and the President should plan in advance who introduces whom. Introductions should include; Head table: Grand Lodge Officers and their Spouses, State Officers and their Spouses, Lodge Officers and their Spouses, and visiting dignitaries and their spouses. Communication: At least two weeks prior to the visit, send a letter to the President welcoming him to your lodge. This letter should include; an agenda of events, dress code information, and the name and directions to the motel/ hotel. If planned, a request for the President to speak (a special topic and length of speech). If planned, request the President to perform the 11 o clock toast, suggested arrival time, and identification of the President s host and hostess, if applicable. Departure: This most often being a Sunday morning, you may or may not want to have breakfast with the President (much depends on his travel plans). Whatever your plans, make it clear to the President that you do or do not plan to see him in the morning. Make sure that the motel/hotel is aware that you are paying the lodging bill. The President should be able to check out with no payment from him expected (unless of course, he has personal charges). Summary: The financial responsibility of each lodge will differ. The dinner and drinks at the lodge should always be provided. The President (even though they receive an allowance for the year) has expenses which far exceed the allowance given him. You should not expect him to pay for costs, which can easily be absorbed by the lodge. 65

Attend your District Fall Meeting. NOVEMBER 1. Set plans for your Lodge s participation in Hoop Shoot Contest. (Be sure to get proper Publicity). 2. Review lapsation. (Use Grand Lodge Manual). 3. Concentrate on getting new members. (See Grand Exalted Ruler s handbook for Exalted Rulers). DECEMBER 1. Observe Elks Memorial Sunday. (Sec GLS). MANDATORY first Sunday in December. 2. Prepare and submit a brochure for your Elks Memorial Service to Grand Lodge. JANUARY 1. Participate in Hoop Shoot Free Throw Contest. 2. Prepare activities for Elk of the Year. Deadline is March Enter your Lodge bulletin in Grand Lodge contest. 4. Enter your District s Ritual Contest. 66

Membership The key to our continuing success. You must initiate approximately 10% of your lodge membership each year just to stay even. Indoctrination A good first impression will become a long and lasting relationship in Elkdom. Lapsation Start immediately, don t wait days. Stray Elks Invite Elks who are members in good standing from another city or town to attend your lodge facility. Ask them to consider transferring to your Lodge. Reinstatements Revive the enthusiasm of former members of your lodge with the interesting aspects of today s Elks. New Lodges If you hear of a community without a Lodge, that shows interest and desire, please contact a State Officer or your District Deputy Grand Exalted Ruler. Increase Lodge Attendance Many ideas are listed in the Grand Lodge Activities booklet. Ritual Contest Participation This enables each lodge officer to help conduct business-like and inspiring lodge meetings, thus keeping the interest among our members and helps to increase better participation. Family Participation Invite families to open Installation of Officers, Flag Day Ceremonies, Memorial Services, and Youth Activity programs. Community Service Help where possible in your city or town. Let the citizens know your Elks Lodge sponsors Hoop Shoot and Scholarship Contests. Americanism Sponsor programs which will make Americanism a living part of your community. National Service Committee As long as there are Disabled Veterans in our hospitals, the Benevolent and Protective Order of Elks will never forget them. Not just a slogan but a continual deed. Elks Magazine Read and pass it along. Elk Awards Elk of the Year, Citizen of the Year, and Officer of the year awards. This gives you the opportunity to recognize those who have helped promote not only the Elks, but also your community. Cancer Research Indiana Elks major project. Each Lodge supports this annually. Approximately $9.0 million has been donated to date. 67
