6 What Are Deaneries? In the Diocese of California there are 6 Deaneries which roughly follow county boundaries. St. Timothy s is in the Contra Costa Deanery which includes Grace Church, Martinez, Resurrection, Pleasant Hill, St. Anselm s, Lafayette, St. Giles, Moraga, Holy Spirit (Area ministry composed of St. Alban s, Brentwood, St. George s Antioch, St. John s Clayton, St. Michael& All Angles, Concord), St. Luke s, Walnut Creek, St. Paul s, Walnut Creek, St. Mark s, Crockett and St. Stephen s, Orinda. The other Deaneries which make up the Diocese are Alameda, Marin, San Francisco, Peninsula and Southern Alameda. The Contra Costa Deanery meets in convocation four times a year. Delegates and Alternates are elected according to the number of members in the congregation and make up the Diocesan Convention which meets yearly in October to conduct the business if the Diocese. This includes: approving the Diocesan Budget for the following year; changes in the Canons/laws, of the church; changes in the By-laws; elects delegates and alternates to the following- General Convention of the church every three years and Provincial Synod (Diocese of California is in Province VIII). The Convention also approves resolutions generated in the Deaneries which witness to the world who we are and establish fellowship with delegates and alternates from other churches to strengthen the unity of the church. One of the prime responsibilities of delegates and alternates is to report to their respective communities what the church is thinking and actually doing: worldwide; nationwide; in the Diocese and Deaneries. Delegates are encouraged to be part of one of the many Departments of Ministry in the Diocese. Each deanery receives a small grant from the Diocesan Budget. These monies are used by the Deanery to help ministries presently going on throughout the Deanery and to provide seed money for new ministries. Which commission do you feel called to serve on and why? I want to serve on a Commission where there is the greatest need. I am open to all Commissions and believe my experience as a lawyer, community board member, and parishioner with strong family ties to St. Timothy's makes me a good fit for any of the Commissions. For example, as President of the Junior League of Oakland-East Bay, one of my main goals was to tend to the membership and make sure the members were engaged and uphold the mission of the League. That would fit well with Fellowship. As another example, as a trained lawyer I am detail-oriented, which would fit with a Commission such as Property or Administration. The Vestry represents the next level of involvement at St. Timothy's for me as a church member. Ministry is the true calling of the laity (BCP 855). The call of the Church (the People of God) is to assist in building up each lays person s life as a representative of God, a witness to Him and to assist in their work of reconciliation in the world. As a Baptized person we are to take our place in the life, worship and governance of the church. This is accomplished through Worship and development of programs which allow each person to find their true point of connection with God and their place as God s hands and heart on earth. Providing information and a venue for faith sharing is key to this development. A wide range of programming and a safe environment for exploration is needed so that a variety of learning types and perspectives are addressed. I have spent the last 9 years at Saint Timothy s mentoring EFM and presenting programing which would help foster the individual development of the laity. The understanding of the Good News and the sharing of each person s story of Good News is foundational to the growth of the individual and the congregation. We are each here to help write the next chapter of Good News. I feel I am called most strongly to the development and presentation of programs. 12 Interim Rector s Report How quickly this year has come and gone. As we look forward to Pentecost, with the goal of announcing the name of the new Rector, we give thanks for the Spirit working in and among us in so many ways. We give thanks for hardworking parishioners, staff and diocesan supporters, all of whom care deeply for this congregation and for its very bright future. It is my custom, wherever I serve, to give a state of the parish address at the sermon time on the day of the Annual Meeting, and that written transcript will be later inserted into this report as an addendum. As I ponder this past year at St. Timothy s, I think of the comings and goings. The comings and goings of staff, the comings and goings of parishioners, the comings and goings of the seasons, as so beautifully reflected on our campus, under the shadow of Mt. Diablo. The comings and goings of Diocesan staff, to help us with search activities, planned giving activities, stewardship activities. And at the same time, even more than comings and goings, I give thanks for arrivals. The arrival of new parishioners and the return arrival of some former parishioners. The arrival of a new right-size for St. Timothy s which asks our people, our volunteers, to step into roles and responsibilities formerly attended to by paid staff members. The return arrival of laughter across our campus, and the dulcet tones of hymns being played from the deck of Grace House (We did a Committal in the Columbarium with Darita accompanying from up above.it was wonderful and perhaps a new tradition to be explored as St. Timothy s lives into its future.) The work of ministry is unending work for us who call ourselves members of Christ s body. I love the poet David Whyte, and commend to you this small paragraph where he talks about the work we do as a triumph of our existence. By this time next year, St. Timothy s will have settled in with your new rector, and I pray that the firm persuasion that has brought you to this moment will continue to bless and keep you. I will look forward, as I make my own transition, to watching how the congregation continues to grow and transform. Until I leave, however, we have lots to do, so let s keep the momentum going! To have a firm persuasion, to set out boldly; to delight in error as another way of rediscovering the way, to find a mature generosity through what we thought to begin with was only a personal gain, to see humiliation not as a punishment but as the daily test of our sincerity: is to make a pilgrimage of our labors, to understand that the consummation of work lies not only in what we have done, but who we have become while accomplishing the task... 13 Senior Warden s Report Reflecting on the experiences of the Parish during 2016, three words seem to capture the life of the congregation: preparation, enunciation and growth. Surely there is a more complete picture that would be nuanced and complex but, in simple terms, we worked together to define our church, lay the ground work for our Rector search and evolved our staffing and organization to enhance our lives together. Preparation Early in the year the Vestry welcomed its new members and worked diligently to confirm and reconfigure its Commission System to enhance the effectiveness of both the Vestry and the ministries and activities each member is responsible for nurturing and growing. The Vestry and volunteers worked with the Search Committee to create an entirely new website which will serve as the information platform for St. Timothy s for many years. The Vestry also appointed the Search Committee to prepare for our permanent Rector and charged the Committee with engaging the Parish in creating the documents needed to conduct the Search. Enunciation The Search Committee has worked diligently to engage the entire congregation in developing the Search Documents used by the Diocese to advertise the permanent Rector position. The Committee held meetings with the Diocese, met as a group to prepare the Parish engagement meetings and conducted the meetings and electronic input process. The results of the Parish input have been included in the Rector search materials in the Executive Summary and Diocesan required documentation which are on our website and being advertised nationally. The Parish and Search Committee have created a solid basis for prospective candidates which will fully inform them of who we are, our goals and aspirations. Growth The Vestry and Parish have grown together in this past year through our engagement in the Search process preparation and the Search is underway! We expect to begin receiving candidates from the Diocese in February and the Search Committee will begin the selection process, expected to be complete by Pentecost. A Music Search was conducted during the Spring and Darita Seth was chosen to serve as our Associate for Music Ministry. A highly skilled musician, Darita has brought enthusiasm, a passion for music that has provided wonderful opportunities for our choirs and the congregation. The Vestry also determined to replace our youth and family minister Lori Robinson with a ¾ time Associate Rector to provide increased versatility in this position s service to the congregation. The Vestry conducted a search process and Susan Geissler-O Neil was selected and began service in December. Susan has worked with volunteers to re-establish our Sunday morning youth worship service and is provided enhanced pastoral care and worship service assistance to the congregation. St. Timothy s has laid the foundation for a blessed future and will continue throughout the year to move forward in faith. 14 Junior Warden s Report The role on the Junior Warden has transitioned from what had been called the People s Warden at St. Timothy s to the more often used title of Junior Warden. The primary responsibilities of the position have also changed with the primary focus being the overall responsibility and oversight of the physical assets of the parish. I felt privileged to take on the new responsibility and I felt my recent background as the Commissioner for Properties provided me valuable insight into the position. The parish has been fortunate to have a Bev Matsunaga as our Facilities Manager since 1996 as well as Susan Oki as the Property Commissioner for Both were invaluable assets to the parish. I urge you to review the Property Commission report for details of the past year. We are finalizing our long range facilities needs and plan to present that to the Vestry in March. I developed a strong working relationship with Mike Oliver, Senior Warden and we worked closely together on many of the parish initiatives. I was asked to lead the effort of selecting the Rector Search Committee and believe we were able to assemble a diverse and very competent group. It was wonderful to see the Parish Profile go live recently and the formal search process finally begin. Mike and I were invited to participate in the final interviews for the Music Director and we were excited to see how competent and capable both candidates were. Darita s arrival brought a burst of new energy to our music program which we all welcomed. Along with Mike and other Vestry members I was involved in the initial interviews for our Interim Associate Rector. Everyone we interviewed was more than capable of the doing the job and the decision process was anything but easy. Mike, Stacey, and I were involved in the final Interim Associate interviews and we could not be happier that Susan accepted our offer to join our parish. She is a wonderful addition to the staff today and will provide important continuity when our new Rector arrives later this year. It has been a busy but fruitful year in the life of our parish and I feel blessed to have been a part of the leadership this past year. 15 Treasurer s Report 2016 saw the parish continue to financially support St. Timothy s activities and the church has finished the year with a substantial surplus. The year saw us live into our reduced staff configuration and replacement of our music and youth ministry staff while maintaining the personnel configurations created in The surplus can be attributed to a number of factors outlined below combined along with the continued financial commitment of the parish. Listed below is a brief recap our 2016 financial activities: 1. In January 2016 the Vestry approved a balanced budget which forecast a surplus of over $75,000 which was anticipated to serve to support our ultimate staff configuration with a permanent Rector. 2. As the year progressed, Pat Parr and Lori Robinson left St. Tim s which resulted in unfilled openings for several months during the recruitment process for their replacements, who arrived during the summer and in December. 3. In late Spring, the Vestry constituted a Financial Task Force to review our financial practices and assist in recruitment of a part-time, budgeted position to serve as our bookkeeper. 4. In July, the Vestry conducted a mid-year review of our revenue and expenditures and slightly reduced anticipated income expected to result in a slightly reduced surplus at year end. 5. In the Fall we hired a part-time Bookkeeper to assume the responsibility held for many years by Carleen Carns, who performed this thankless, behind the scenes task with great care, integrity and accuracy. 6. As part of the Financial Task Forces work it was recommended the parish move from the Corporate version of QuickBooks to a non-profit version and concurrently revise our Chart of Accounts to more accurately represent St Timothy s financial activities. 7. In 2017, we will begin using the non-profit version of QuickBooks and implemented the new chart of accounts. Diocesan Audits: The St. Timothy s and Noah s Arc were not audited in 2015 due to the departure of the diocese auditor. We anticipate having the two accounts audited in early February of this year. The 2016 year audit should be completed later in the year. Noah s Ark: The preschool ended its fiscal year with a surplus of $45,609. The Administration fee assigned to the preschool was changed to 8.5% of student tuition to more accurately reflect costs. Revenue from the Administration Fee has been moved to the Parish operating fund to reflect the expenditures associated with the preschool. THANK YOU! Please offer them a word of thanks for their time and commitment throughout the year. In addition, the Finance Committee has been extremely helpful in guiding the parish finances, preparation of the 2016 and 2017 budgets and helping to address issues in our Custodial Accounts. 22 Rector s Search Report Your Rector Search Committee was established in August, Its members are: Ade Adekunle (Vestry Representative) Dick Firth (Co-Chair) Cathy Hager Gary Hunt (Co-Chair) Alison Hill Gil Jardine Claire Keeshen Cathy Morris Sian Suter James Vila (Vestry Representative) We began our work in mid-august, organizing a series of 15 meetings with the parish community. We have met regularly with the Vestry to report progress, conducted an online parish survey, and used social media to gather youth input. We also have been meeting with Denise Obando, the Diocesan Transition Minister. At her suggestion, St. Timothy s has modified our web site, and our Search materials will be accessible through a tab on this site. Following the Diocesan requirements, we have completed the preparation of two Search-related documents: 1) an Executive Summary Profile and 2) our responses to 12 Office of Transition Ministry (OTM) questions. The Vestry has approved these documents, as has Denise Obando. The Bishop approved our materials on January 10, and as of the date of this report s preparation, we are finalizing plans to go live. We anticipate this will take place by January 16. Potential applicants will have until February 17 to submit their applications to the Diocese. The Search committee anticipates that we will receive the applications from the Diocese sometime in the week of February 20. Our plan is to review, interview, and select the finalists who we will recommend to the Vestry by April 24. This selection process seeks to enable the vestry to call a new rector by Pentecost. 23 Stewardship Report In 2016 I had the pleasure of being elected to the Vestry. I chose the Finance Commission to be my commission and began to take on the responsibilities that the commission would require. Stewardship fell under the umbrella of finance and so I volunteered to chair that committee. This was not a new experience for me as I have been on stewardship several times in the past. However, this would be my first time to chair a committee that is so vital to the welfare and future of our church. Lucky for me I was able to pull together a very strong and representative group of Saint Timothy s parishioners to partner with me on this journey. The Stewardship Committee is a difficult committee to get volunteers to join. It involves direct and sometimes uncomfortable contact with the same people you worship with and asking them to commit financially to the church. It is a very short, but intense period in which everyone on the committee committed themselves to accomplish what we knew must be done in the most respectful and considerate way possible. This year s program was Consecration Sunday. It was chosen for its success with other Episcopal as well as other denominational churches. It involved a series of letters, speeches, sermons, phone calls, etc. It culminated on October 23, with one service at 10:00 a.m., followed with a catered brunch. It turned out to be a beautiful day, and the people who attended seemed to have experienced a true Saint Timothy s event. 85 families turned in pledge cards totaling $436, This was a good start and we were sure there would be more to follow. More pledges continued to come in but as in the past it became clear we would need to follow up with some direct contact. Phone calls and s were made and as suspected many had forgotten, some had misplaced their pledge card, and some just never received them. As of Jan. 5, we have $598, Our goal is to reach $667, We have not heard from some 40 pledging family s as of this report writing, and we pray we will hear from them soon. I want to thank the volunteers: Sally Jess, Angela Domer, Ted Budach, Betty Davis, Katie Morehouse, Angela Duvoisin, Jim Coleman, Caroline Fea, Patti Farris, Susan Cyr, and Kay Lynn Haddad-Liggins. 24 Family Ministry Report Our beloved Family Minister left this past summer to take a position at LOPC (Lafayette Orinda Presbyterian Church). Lori served for ten years at St. Timothy s and we held a festive farewell Coffee Hour in July to send her on our way. The Vestry then spend some good time discerning a re-organization of staff, to accommodate parish current needs and to allow for the new Rector to have flexibility as she/he arrives later in We hired The Rev. Susan Geissler-O Neal to take Lori s position as the Noah s Ark Chaplain, to work in the area of Pastoral Care and preaching and presiding, and working with volunteers to carry on our good tradition of ministry with children and youth. Susan arrived with us the week before Christmas, and as another staff member quipped, jumped on the train already going 75 miles an hour. We are very glad to have her with us. In January 2017, we revived and are celebrating the Children s Liturgy, which is a Liturgy of the Word service held in the Sunday School Room (formerly the Godly play room). Thanks to John Geraci-Novy for spearheading this revival. Manvita Paruchuri, our child care provider, works with John and other parish volunteers to create a seamless experience for our younger children. Sunday School, which occurred after the 9 am service from January to June 2016, has been suspended for the time being in late 2016, as we re-assess the needs and desires of our families with young children. In addition, we moved all Sunday activities over to the parish hall in mid-2016 to coincide with the staff changes, and the new closer location seems to be meeting everyone s needs. We held a great Vacation Bible School in June of 2016, at which point the Kitchen Grannies presented Lori Robinson with an amazing quilt made of past VBS T-shirts. Little did these amazing Volunteers know that Lori would soon be announcing her departure. The quilt made a reappearance at Lori s farewell, and is a testimony to the community which has evolved around this most amazing children s ministry. The early Children s Christmas Pageant for 2016 was ably organized by Cathy Hagar, and was well attended. The later Christmas pageant, although well attended, was organized by the Interim Rector and was less effective in its presentation. The staff did a lessons learned for all Christmas services which will help guide staff and the Worship Commission in In conclusion, I thank all of the parishioners, both seen and unseen, who helped keep our ministries for families and children alive during this great year of transition. The Children s Time, which we offer every Sunday at the 9 am service, continues our work towards making that service one with a true intergenerational spirit, one in which we continue to live into Jesus teaching that a little child shall lead them. 25 Music Ministry Report In late August of this year, I received a call to meet with The Reverend Stacey Grossman where she offered me the position of being the Director of Music here at Saint Timothy s. Anxious to get started, I accepted without any hesitation. The search committee was made up of Patti Farris, Carolyn Hunt, Dimitri Koovshinoff, and Spencer Fulweiler, who already then at my very first interview, felt like family. With all of this being said, it is rather odd for me to be in charge of writing the 2016 annual report for music ministry after only serving just a small portion of this year, but I believe that within these short four months, we have made large strides together that have been valuable to this interim period. As a parish, we understand how valuable the music ministry is to our worship. After all it is music that is able to express our human and spiritual desire that words alone cannot. The first day I walked through the doors of Saint Timothy s with the title of being Director of Music, there was lots buzz around the annual parish musical, Oklahoma! It was being kept afloat by parishioners with the leadership of Craig Dunlap. The musical was a success, and something of which the parish should be proud. Its cast involved members from all three of our worship services, as well as our youth and community members and professionals. I was given the opportunity to present a small contemporary recital for the Annual Senior Luncheon. It was entitled From My Heart to Yours, featuring music near and dear to my soul and of many genres, with the hope that it could better introduce who I am to our congregation. The recital was well-received and this is where I learned that our parish is made of people who desire quality music for our church. Our choirs, both 9am Musicians and Jubilate are thriving and continue to grow in both numbers and musicianship. The 9am Musicians involve approximately people every Sunday, including our youngest but most devout member, Adam Linari. I continue to learn more and more of the legacy of Genesis and Aslan which is left singing still within this five-acre campus. Together we ve introduced many unfamiliar songs to our 9am service and are now in the process of marrying the songs from our past and present within our liturgically centered service. Jubilate has had the challenge of losing many members over the years simply to transition as well as age. The ten regular members of Jubilate along with guest musicians to help supplement the sound have become the backbone of the 11am service. Together, we ve kept a high standard in terms of choral repertoire, hymns, and service music. Through testing the waters of sprinkling in some organ and traditional music at the 9am service, as well as singing a hymn-style version of 9am favorites at the 11am service, it is my desire and vision to see the services meet happily in the center with a common ground. In early December, we reinstalled our long-lost concert series by hosting our first ever Christmas Festival of Chamber Choirs. It featured the Chanticleer LAB Choir, Castro Valley High School Madrigals, Monte Vista High School Chamber Singers, and Mount Eden High School Chamber Singers. This was about 115 teenagers roaming our campus and making music together. The attendance from our parishioners, parents and community had our Parish Hall to over maximum capacity. The choirs at St. Timothy s were ROCKSTARS when it came to putting this event together. Vestry members Jim Coleman & Scott Sampson booked food trucks for our parking lot. This was a very first for St. Timothy s. We raised closed to $3,000 for the schools, and our highest compliment was the teachers asking if this event could become tradition. I am unable to say no to that. It is my plan to continue with coordinating the concert series which will include an early music ensemble from San Francisco, a singer/songwriter from Ohio, as well as a production of Into the Woods as our parish musical over the summer. 26 Noah s Ark Director s Report Here we are well into our school year, and, wow, does it seem to be moving along. Our first few weeks of school center around being together, getting acquainted and building relationships. As our children have grown quite comfortable, the days become even more exciting. Currently, we are a staff of ten and how fortunate I feel to have a fantastic team of teachers to guide, inspire and enrich the lives of our fifty-five children. As Steve Jobs once said, "Do what you love", and it is our blessing to have a staff that shares this philosophy within our school as we work diligently to enrich the lives of children and families within this community. Of course on an administrative level, Beverly Matsunaga spends her mornings keeping us on track and moving steadily along. Thank you Bev! The children, teachers and I welcomed our new interim Associate Rector at the end of December-Reverend Susan has eagerly begun chapel each week and it is a pleasure to have her with us. I would like to offer a giant thank you to members of our preschool board, which come together in support of the school sharing time and energy. I truly appreciate each of you! This includes PCs, network, website, telephones and the church management system. In addition to providing and coordinating needed support to the office staff to help resolve issues, the Administration commission also collaborated in other activities as requested by the vestry. The following are highlights of the accomplishments of the commission in 2016: Rolled out the new Church Management System (ConnectNow) to the congregation and engaged in a campaign to ensure parishioners register to use the system In collaboration with office staff volunteers, published a more accurate paper Directory based on ConnectNow Replaced our aging telephone system with a new AT&T system Launched the new and improved St. Timothy s website which includes the Rector Search page As outgoing commissioner, I would like to thank above named commission and committee members who volunteered their time to help insure that the 2016 goals of the commission were fulfilled. 28 Christian Formation Commission Report Christian Formation, the group that helps provide parish-wide education opportunities for youth and adults, included several popular ongoing programs as well as some new and exciting offerings in Here are a few highlights. Education for Ministry, a national 4-year course led by mentor Lisa Perry, continued to engage students and grow the theological perspectives of parishioners. Weekly Bible Study, facilitated by Gil Jardine, offered comprehensive looks at liturgical scripture. Small groups also read and reflected on transformational books, thanks to Steve Mason s help hosting the compelling studies. Shelly Wells and Gloria Rousseau hosted a webinar simulcast at Grace House of Richard Rohr's annual conference "Conspire" (or breathe together ) on contemplative prayer and interfaith action. Our Lent program shared inspiring videos and a parish-wide workbook on Growing a Rule of Life, produced and hosted by Shelly Wells, Gloria Rousseau, and Jean Crane, that focused on cultivating the spirit with God, self, others, and nature. The same folks led our Sunday group study of Lenten Lectionary readings, too. Also for Lent, we offered the workshop Finding our Spiritual Gifts and Talents, hosted by Jean Crane, to explore our unique behavior styles, and how these can lead us to better understand and share our various spiritual gifts. Preparing for Christmas, the latest Richard Rhor book, was developed into a 4-week Advent series by Shelley Wells, Jean Crane, and Matt Jones, including hand-out study materials, a presentation lecture, and shared group reflection opportunities. 29 Communications Commission Members: The makeup of the Communications Commission is somewhat unique, as its membership consists of the Communications Commissioner (Wally De Young) and all other Vestry members. Goals and Priorities Through a process of continual improvement, the Communications Commissioner partners with each communication proponent (Commissioners/Committee Chairs) to prioritize the communications needs/challenges in their area, and work together to ensure that those specific objectives are achieved in a timely fashion Communications Most Impactful Activities Created a Communications Inventory of over 40 primary methods of communications currently utilized by the parish, identifying owners for each, to ensure that the scope of activities is appropriately inclusive. Commissioner keeps the communications hat firmly in place during all vestry meetings, ensuring that plans always include appropriate information sharing with the congregation. Worked with the Rector Search Chairs to develop a defined communications plan, designed to keep the congregation aware and informed of the plan, timeline and associated progress, throughout the process. Partnered with the Website Team to advise on development of the new (awesome!) site, and to map each page on the site to a Commissioner for ongoing content review and refreshing. Consulted with the Endowment Committee to resurrect the group s efforts, and develop related communications materials and processes to move forward. Partnered with the Finance Committee to identify areas where gaps in clear documentation existed, and created policies to close those gaps. Developed a Social Networking Guide, paving the way for a more robust presence for St. Timothy s on Facebook, while ensuring all related Diocesan polices & procedures are adhered to. Introduced the new Tidings offering, Do You Know, highlighting the background and contributions of a different parishioner each month. Continuing to look for more opportunities in 2017 to let Vestry know what you are thinking. 30 Fellowship Commission Report Acts 17:6-7 These people who have been turning the world upside down They are all acting contrary to the decrees of the emperor, saying that there is another king named Jesus. CONNECT ACTIVITIES Coffee hours These continued much as in past years after the 7:30AM and 9:00AM Sunday services. Jacque Chiavini and Joann Oliver are the key individuals in insuring that a sponsor group or individual accepts the responsibility for every week. We all owe them our deepest gratitude to their dedication to this task. Joann has set up an online signup process that will notify individuals when their turn occurs. Jackie has make the job much easier because she has done all the setup work in advance of Sunday. During those times when we have had important discussions we moved the coffee and goodies toward the entrance to the Parish Hall to speed getting things and allow for better discussions in the Northern side of the building. New Episcopal Women Roz Adekunle maintained the regular meetings of the NEW group, punctuated by the very successful Women s High Tea. This has become an excellent intergenerational event. Roz and her team - keep this going. (see photo) Music on the Patio BBQ & Line Dancing - Susan Cyr and Leslie Firth reprised after an excellent Fruits of the Harvest event to arrange this line dancing and BBQ event in August. (see Photo) Welcome Home Sunday Ministry Faire This event was successful was a scaled down event of years past. It took much less effort to produce and still provided a complete forum for the many Lay Ministries of the Parish. This uplifting set the stage event for the arrival of Dorita Seth, our now deeply beloved Choir and music Director. (See Photo) Funeral Reception Ministry This was a major effort this year led by Helen Coleman and her dedicated team of women who assist and relieve grieving families from the responsibility of providing a reception for a deceased loved one. Emergency Preparedness - This young ministry, led by Shelly Wells has helped train ushers and parishioners to respond to an immediate need for Emergency response. Twice this year event have shown the need for this training. WELCOME ACTIVITIES Greeters Committee This is ably chaired by Virginia Woy and Cathy Morris. It meets every third Wednesday to review the pew cards and sign in information. This year the Greeters updated the blue Greeting Bags with new materials about the Parish. They have also produced and added a Bookmark to the bag. Greeter and Artist Gregg Skuce was the inspiration behind this project. Get one and give it away! 32 Finance Commission Members: Joe Cunningham (Chair), Ed Liggins (Finance Commissioner), Wally DeYoung, John Jess. Frequent Guests: Mike Oliver (Senior Warden), Interim Rev. Stacey Grossman The purpose of this committee is the financial status and security of Saint Timothy s Episcopal Church. The committee meets at least monthly, and when necessary, will hold special meetings to deal with any issues that may affect the financial needs of the church. It is the committee s task to monitor and track all funds invested by the church. To that end the committee meets quarterly to review the investment portfolio. The committee will report to, and if determined will make recommendations to, the Vestry regarding the status of the investment portfolio. The committee has an active participation in the budget planning, line item expenses, revenue, etc. This year the committee has been working very close with our new bookkeeper, Liz Haughey to update our reporting process. The committee wishes to thank Carleen Carns for her many, many, years of dedicated time and patience as our previous bookkeeper and treasurer. Carleen has worked for years behind the scenes providing us with many hours of expertise. She has decided to retire and we should all let her know how grateful and thankful we are for the service and dedication she provided us over these many years. Let her hear it from you when you see her. The finance committee will continue in 2017 to assure the financial stability of Saint Timothy s. 33 Outreach Commission Report To learn more about Outreach and all the ministries and projects that Saint Timothy s supports, please go to the church website under Outreach Ministries and Liaisons. Loaves and Fishes For 31 years they have been Nourishing Lives and feeding over 4 million meals to low income and homeless individuals at five locations in Contra Costa. Saint Timothy s serves on the fourth Monday of every month at the Martinez dining room. Our roster has 16 active participants and could use a few more people at this time. Please contact Leslie Firth, lesliefirth@comcast.net, if you are interested in volunteering. SHELTER, Inc. This is one of the largest nonprofits in Contra Costa working to help families who face homelessness. They strive to end the cycle of homelessness, and to provide affordable housing. They give families a safe place to live, meeting their most basic needs, while offering individualized services such as education, employment development and counseling. Last year 2,484 children and adults were provided housing assistance. In December, a group of 6 Saint Timothy s members wrapped gifts for their Adopt-A-Family program. Contra Costa Interfaith Housing (CCIH- provider of low income, permanent housing for families and individuals, has received a grant from HUD and is working to provide permanent housing for 20 chronically ill families who have never been in permanent homes. They have placed 13 families to date. They also provide scattered site apartments with supportive services for 52 low income families. Their 28-unit apartment, The Garden Park Apartments in Pleasant Hill, houses and provides many supportive services for twenty-eight families with children. Our Annual School Supplies drive for CCIH helped provide materials in four locations for their homework clubs for children to help bring them up to grade level in their school classrooms. The God's Hands - Spread the Warmth Drive was held from Nov. 13th to Jan. 1st. to collect socks, hats, mittens, and toiletries for Trinity Center and Loaves and Fishes. We gathered 350 pairs of socks, 17 hats, 11 scarves, 10 pairs of gloves and mittens, and seven large bags of toiletries. Thanks to all of you for keeping our brothers and sisters warm at these two organizations. They are so appreciative of your gifts during this cold and rainy winter. Fruits of the Harvest (FOTH) 19 th Annual Fundraiser to benefit all Outreach Ministries was held on May 21, Last year s theme was Barn Dance Party til the Cows Come Home. We had a great night with auctions, dinner and line dancing and raised a record net of $48, Over the last 19 years, Saint Timothy s parishioners have raised over $550,000 to provide grants for worthy organizations helping our brothers and sisters in need on a local, national, and global level. SAVE THE DATE: MAY 20, th Anniversary of FOTH! STAR WARS: The Force is strong with this one Adopt A Family Bikes - Adopt a Family Bikes is finishing its 15 th season at this writing. With our best starting budget, ever ($8700 from donations), we distributed 434 bikes this year, 31 bikes (with helmets & locks) during our off- season, and over 403 bikes with helmets during the holidays. That is a new record! Bikes were distributed to non-profits (Options, Trinity, etc.) and low-income schools. The core volunteers are made up of both St. Timothy s members and others from the community. Once such, Joe Hui was honored for his work with AAFB by Diablo Magazine at their Threads of Hope ceremony in December and was featured in their December issue. 34 Winter Nights Shelter - Between January 18 and February 1, 2016 the Parish Hall was home for the Winter Nights Shelter families. Over the two-week stay at St. Timothy's, we provided a safe, welcoming home for 30 guests (14 adults and 16 children!). Members of St. Timothy s and our partners, Beth Chaim, came together to prepare meals, donate supplies, spend the night, help with the children the list goes on. The congregation donated food and supplies and over 1000 volunteer hours to provide a safe and welcoming home for our Shelter guests. Stop Hunger Now - On Saturday, September 24, 2016 over 85 volunteers from St. Timothy s and the community helped bag and box over 16,000 meals which were distributed to schools and orphanages through Stop Hunger Now. It was a fast-paced morning filled with fun music, lots of laughs, a little dancing and plenty of good will. Best of all, there was a job for everyone! The volunteers of all ages worked hard and left knowing that their efforts would mean that a hungry person received a much-needed meal. Gretta Foundation The Gretta Foundation (TGF) is entering its 9 th year and is grateful for the support of St. Timothy s which has included not only financial grants over the years but use of the facilities twice this year for fundraisers and a donor recognition dinner. Several parishioners volunteered and attended. Sr. Cathy, a TGF graduate (and head of instruction for the Uganda Catholic Medical Bureau) visited in September providing the sermon and a forum after. This Fall, in part because of St. Tim s support, TGF provided full in-country scholarships to ten impoverished Ugandans to become nurses or nurse midwives. Uganda suffers from one of the largest disease burdens in the world with some of the lowest resources. The Gretta graduates will save untold lives during the course of their careers. GAIA - Global Aids Interfaith Alliance - GAIA continued is three programs of mobile health clinics, villages' support, and nursing scholarships in Malawi. This year there are nine clinics within an hour's walk for all underserved rural Malawians. Bicycle ambulances continue to bring in the very ill. AIDS education through the villages caregiver and youth center programs continues to diminish stigma, increase testing and treatment. The main means of transmission now seems to be babies born with the disease. Medications are saving about half of at-risk pregnancies from this outcome. The clinics are full-service and include birth control, especially for infected potential mothers. Of the original one million, about 700,000 Malawian orphans remain to be served with material support and education. The nursing program went into Liberia, where Ebola has decimated the medical providers. Training is provided by Catholic partners. Muslim partners continue their work against female genital mutilation. GAIA is extremely grateful for St. Timothy's $4000 donation in Peace and Justice Ministry - The group was pleased to have held a successful Fair Trade Craft Festival in November. We plan to schedule the 2017 date early and work with those interested in advance to ensure a smooth execution. Many craftsmen from many countries have been blessed with the monetary empowerment of this grass-roots effort. Special thanks to Greer Ryall, Sara Biscotti, Diane Carpenter, Jutta Herrick, Helen Coleman, Roz Adekunle, Joann Oliver, Cathy Hager, Sally Potts, Barbara Wander and the Rev. Davidson Bidwell- Waite for all the work that goes into this event. Shawl Ministry This year a number of the scarves knitted by parishioners were blessed and distributed to the Seamen's Church Institute. Options - Options Recovery Services had an extraordinary year of growth. Because of Obama Care medical care and drug and alcohol treatment is now available to most of our clients. Those not covered are funded in the West Oakland site by Alameda County. Others are funded by Department of Corrections and Children's Protective Services. The training program in prisons to train Drug and Alcohol Counselors in the prisons will be extended to all prisons. We are now working at two locations where severely mentally ill are treated to help with drug and alcohol issues these folks have. And the restoration of the Center Street building is nearly St Timothy s Episcopal Church, Danville CA Annual Report 2016 Page 34

35 complete. You can see this at the next graduation on March 3, 2017, 4:30 to 6 at 1931 Center Street in Berkeley. Options will have a Gala celebrating 20 years of service on May 20, 2017 at the International House on the Berkeley campus Christmas Food Boxes - Christmas Food Boxes 2016 again showed the generosity and willingness to pitch in and help others of the members of St. Timothy s. We (helped by the families of students at Noah s Ark) filled just over 200 boxes for clients of Monument Crisis Center during November and delivered them at the beginning of December with the help of UPS and our resident Boy Scout troop. Over half of those boxes were filled by volunteers at the Alamo Safeway and transported to St. Timothy s in the truck lent by Adopt-a-Family Bikes. Trinity Center - Trinity Center s mission is to be the doorway to opportunity for homeless and working poor people. St Timothy s was an alternate site host for 3 nights in early January 2017 for the Trinity Center Evening Program. This evening shelter program at the Walnut Creek Armory will house up to thirty-eight homeless men and women from November 12, 2016 through March 30, St Timothy s supports Trinity Center with hands on volunteers supporting employment, membership advocacy, and first Friday lunch. 36 Pastoral Care Commission Outstanding Pastoral Care has always been central to who we are at St Timothy s, but in recent years with significant clergy turnover, and reduced financial resources we have been challenged to respond to our parishioners in the manner they deserve. Over the past year, we have recognized the need for an approach to this important ministry that does not rely solely on clergy initiative, but rather focuses on the importance of the laity in providing the high level of care that has been provided in the past. The Pastoral Care Commission was formed last February and it has been a privilege to serve as its first chair. Our first challenge early last year was to improve communication among the various groups providing pastoral care, so that we could better serve our congregation. The leaders of these various providers of Pastoral Care met on a regular basis in a large group setting to develop procedures to better serve the parish. Out of this group an Executive Committee was formed that included myself as Commissioner, Jacque Chiavini, Sally Jess, as well as Stacey as our Interim Rector. This small group met weekly in the early part of the year, and now meets monthly to discuss the ongoing pastoral care needs of the congregation to ensure that the proper level of care is being provided, consistent with the needs and wishes of those receiving this care. One of the main goals of this group is to ensure that a priest is available when needed, recognizing that the clergy are no longer able to do this ministry on their own. A great deal of progress has taken place in this new ministry this past year, but there are many important changes that still need to take place before we can say that we are serving our parishioners at the same high level that we did in years past. I also feel that we need to consider the Pastoral Care needs for the entire parish, not just those that are sick or suffering in some way. I would like to see regular visits to all our parishioners so that we can better serve them by better knowing their life stories, and getting to know the things that are important to them in their lives, and how St Timothy can be an important part of achieving their unique goals, dreams, and passions. I am hopeful that our new rector will play an important role in this expansion of Pastoral Care, even though time and resources will continue to be limited. Finally, as I complete my three-year term on the vestry, let me say how privileged I have felt to serve all of you as your Junior Warden for two years and then as your Pastoral Care Commissioner. St Timothy s and the Episcopal Church are central to my spiritual life, and even though our parish has faced many challenges over the past several years, I am proud of how St Timothy s has worked through these challenges. I know that God has many rich and rewarding times ahead for our parish and I look forward to continuing my involvement in this wonderful community!! 37 Property Commission Report The Property Commission manages all our church facilities ensuring good stewardship and maintenance on behalf of the congregation and our church community. We accomplish this by actively: Assessing the MAINTENANCE needs of the church buildings and surrounding grounds and facilitating repairs in a timely manner. Enabling IMPROVEMENT to the facilities in alignment with the overall operating plan. Managing the ACKERMAN PROPERTY and ensuring its upkeep. Collaborating with the Peoples Warden (Junior Warden) on the LONG-TERM PLAN for the church campus was, as you can expect, another busy year for the Property Commission. There s always something around the campus needing attention. The major projects and activities accomplished in 2016 were as follows: Ackerman Property: Defined a preliminary list of items requiring upgrade at Ackerman should our future Rector want to occupy the property. Church Roof: Initiated the process to replace the current roof obtained bids, held discussions with vendors for clarification & general review of bids. Formed a committee to progress this effort. Facility Use: Updated the forms and associated reference materials for requesting facility usage to clarify costs, and responsibilities. Grace House Siding East: Replacement/repair of the siding on the East side of Grace House to address damage by woodpeckers Grace House Window East: Replacement of a custom window due to damage resulting from a bird strike. Landscaping: Formed a committee to review the campus landscaping for potential upgrades and general clean up. Coordinated aeration and seeding of the three lawns to facilitate greening. LED Lighting Project: conversion of our campus lights to LEDs thus minimizing our carbon foot print and costs Noah s Ark Play Houses: Refurbished the play houses in the School Yard to address dry rot and other concerns. Work Party: Held a work party on March 19th to address general clean up in advance of Holy week. Miscellaneous Maintenance: Painting of bathrooms in the Parish Hall, pest control, tree and plant maintenance, state compliance requirements on the elevator, etc. I am especially grateful for the work of Bev Matsunaga. As the Facility Manager for St. Timothy s her love for our church is very apparent in her daily oversight of the campus and work she puts in to ensure its maintenance. The commission appreciates all the work of our March Work Party: Sally Potts, Rand & Jan Mahoney, Neal & Bev Matsunaga, and Steve and Susan Oki. You revitalized areas for Holy week. The commission truly rejoices in the support from the many individuals in our congregation: Betty Davis painting), Gary Cyr, Henry Thatcher and Ed Liggins (Playhouse construction), Jacque Chiavini (all exterior container/planter maintenance), Sally Potts (interior plants care in Grace House), Sally Goldner (pencils and pew cards in the church), and Rand Mahoney and Neal Matsunaga (doors and general maintenance projects). 38 If I haven t identified you by name I apologize; I know there are many others who help behind the scenes when and where they see a need. Finally, I would personally like to acknowledge the members of the Property Commission Gary Cyr, Bob Marquardt, Bev Matsunaga, Neal Matsunaga, and Herb Wilson. Your support has been most helpful to me in ensuring we have people to take charge of and coordinate projects plus your expert counsel made my job much easier. Yours in Christ SUSAN OKI St. Timothy s Property Commissioner Worship and Liturgy Commission Report 2016 was a challenging year for the Worship Commission given the three services and loss of individuals who were willing to serve was a year of deep dedication and service by those serving to make worship at St. Timothy s special. Ministries and the contact individuals include: Acolytes (Neal Matsunaga): Master acolytes include those individuals who can serve as a crucifer and/or torchbearers. Acolytes serve as torchbearers. For many years, Neal has trained the acolytes and has overseen their efforts each Sunday. Currently, there are 18 Master Acolytes and 7 Acolytes. 18 of the 25 are youth. At the 9:00 a.m. service there is an attempt at scheduling all youth in this role since the service is the family oriented and a great way to include the younger individuals in the service. Altar Guild (Cathy Morris, Directress): The Altar Guild is involved in every facet of the worship service. Much of their effort is easily observed such as the beautiful table that is set each service for Holy Communion, vestments and linens that are laid out, the candle holders that are polished, the Gospel that is placed on the altar, the flowers that are ordered, the funerals and weddings that are planned, on and on. What is not so easily seen is the incredible preparation for a regular Sunday worship which begins sometimes on Fridays and ends well after the last parishioner leaves after the 11:00 service. During Easter and Christmas, preparation begins with weeks of planning, and preparing and polishing and cleaning. Currently, there are 25 extremely dedicated women who serve tirelessly on this ministry. Bread Ministry (Meg Lindley): Each week an individual prepares freshly baked host for our communion on Sundays and Wednesdays. Sixteen very dedicated individuals prepare the bread at home and then personally deliver the freshly baked bread on Saturdays or very early Sunday mornings. Parishioners may note a little different shape or taste because the bakers have a few recipes from which to choose. Greeters (Virginia Woy, Cathy Morris): Greeters are so important to not only newcomers, but also to those who have been coming to St. Timothy s for years. Having such warm, smiling faces upon entering the sanctuary is a hallmark of our parish. 23 individuals serve in this very important ministry at St. Timothy s. Healing Prayer (Leslie Firth, Susan Paulus): Each week, at the 9:00 and 11:00 services, at the altar in the back of the sanctuary is an individual who offers prayers for those individuals who are asking for healing for themselves or for someone they love. There are only 8 individuals who serve in this ministry so everyone serves often in any given rotation. At 7:30 a.m. service there are no Healing Prayer Ministers. Intercessory Prayer (Patti Farris, Gloria Rousseau): Anyone can request prayers confidentially for themselves or for someone they love. The prayer request comes to Patti or to Gloria who then sends a very confidential e mail to a group of parishioners who pray daily for these individuals. Those who offer prayers deeply respect the confidentiality of these requests. Eucharistic Ministers (Jacqueline Chiavini): Finding enough chalice bearers to serve at the three services is a challenge. This past autumn, the Worship Commission agreed to try to assign just three Eucharistic Ministers at the 9:00 a.m. service. Needless to say, having one less chalice bearer was awkward but all were fed. This last St Timothy s Episcopal Church, Danville CA Annual Report 2016 Page 38

39 rota reflects that we are back to having 4 Ems at the 9:00 service and 2 Ems at the 7:30 and 11:00 a.m. services. The reason we were able to return to 4 at 9:00 was because of the dedication to these serving in the ministry to serve many times each month. Lay Eucharistic Visitors (Sally Jess): This lay ministers take communion to those who are unable to attend church. Over the past year, we have had several parishioners who receive this ministry from some very dedicated individuals each week. Generally, each Sunday there are three LEVs who are sent forth to visit people and to offer a service and communion. Sally Jess begins contacting those who may wish to have communion brought to them on Thursdays and then assigns a LEV to visit. This ministry needs more people who are willing to be Christ s Hands in this community. Currently, there are 8 very dedicated visitors who make up to 25 visits after church on Sunday. We are constantly looking for others to share in this ministry. Lectors/Intercessors (Gil Jardine): Being a lector is a wonderful way to tell stories and to share the messages of the prophets. Each week has a different opportunity to share the gifts of the Bible, and to bring one s gift to the worship service. This year, we have incorporated a youth to read the New Testament lesson during the 9:00 a.m. service. Young people seem to enjoy this very much and do a fabulous job. Intercessors share the prayers aloud that the author of the Prayers of the People have written for that week. Intercessors bring a special gift to our worship as he/she brings the blessings and concerns of our community and world in such a very personal way. Liturgical Art (Leslie Firth, Kathy Wills): The WOW Factor is what I refer as to the changes of our seasons in terms of the liturgical art that is designed, constructed, and lovingly placed in our sanctuary by Leslie Firth and Kathy Wills. Leslie s and Kathy s assistants are their ever present and most of the time patient husbands. The awe comes at times with the simplicity of the changes, and other times with the glory expressed. Music (Darita Seth): This year brought St. Timothy s a wonderful gift in our new Director of Music. We have all felt a new energy and excitement with the program at St. Timothy s. Darita has offered his own comments in the Annual Report. Prayers of the People: Each week an individual receives the readings for the following Sunday and writes prayers that reflects not only the lectionary, but also concerns of our community and the world. As a community we pray along, and aloud at times, for the Universal church, our nation, the world, our local community, those who suffer and the departed. So meaningful are these prayers that they include events of the past week, the individuals within our congregation that need our prayers, our leaders and our planet. Currently, there are only four authors of the prayers. Taize (Stephen Mason): Taize offers a service one time per month which provides a quiet, meditative worship service. This service has brought others, not just St. Timothy s people, to our sanctuary. Ushers (Gary Cyr, Bob Fletcher): Ushers, along with the Greeters, offer a very special warmth to our church. They are busy all service long - long after the service has begun. Each service, they remain in the back of the sanctuary to welcome and offer people a service bulletin and to be sure they find a seat. They remain in the back to continue to welcome the latecomers. They make sure the sound system is working, set up more chairs if needed, prepare the offertory and bring to the altar, direct communion, make sure the priests recognize when an individual needs communion brought to her or his seat, counts the attendance, and gathers the bulletins at the end of the service. The ushers would be first responders if a need arises and lock up our sanctuary and grounds after the 11:00 a.m. service. Goals: As we begin a new year some goals come to mind. Find more time to collaborate with the priests. Finding time to meet has been a challenge, but having Reverend Susan on board will allow greater flexibility. Meet with the Clergy and Commission well in advance of the upcoming liturgical season. Outline more specifically who does what, when and where. 40 Recruit more individuals to serve especially in the areas of Lay Eucharistic Ministers, Healing Prayer and authors of Prayers of the People. Include more youth in the all services. Give thanks each day for our community at St. Timothy s. We have so many blessings. On a very personal note, I want to say Thank You to the many, many people who serve throughout the year. Each one brings a very special gift to our worship. I have been the Worship Commissioner for two years and have been so blessed and humbled by the people who have given themselves so selflessly. Despite the dwindling numbers, people have stepped up to make sure that our worship happens. We are so blessed. Jacqueline Chiavini, Worship Commission Columbarium Report Status of St. Timothy s Columbarium, as of the end of 2016, was: 10 interments for a total of 115 spaces not occupied 398 spaces licensed out of 736 spaces constructed (54%) Columbarium Maintenance Account balance was $100, as of December 1, 2016 The Columbarium Board is made up of four members appointed by the vestry for three year terms, the church Facility Manager, the Senior Warden and the Rector. The appointed members terms all expired June of 2016 and all four were reappointed, by the vestry, to new three year terms that expire in Operation and maintenance of the Columbarium, preparation of niches for interments and assistance with interment services were managed and carried out by the Columbarium board and committee, made up of Jim Enes, Bob Marquardt, Bev Matsunaga, Neal Matsunaga, Steve Oki, Mike Oliver and Sally Potts. Thanks all for sharing your time and talents to keep our Columbarium looking nice and interment services going smoothly. 41 Endowment Committee Report The Committee consists of the following members: Sally Jess (Chair), Ed Liggins (Finance Commissioner), Sue Klingman, Darrell Klingman, Lisa Perry, Jim Pope, and Steve Bried. Wally DeYoung has remained with the committee as an advisor and in his role as communication commissioner. The committee expects to have several programs in 2017 including Amanda Kiernan Martin (Planned Giving Officer of the Diocese) on January 22 speaking at both the 9:00 and 11:00 services with a Q and A at the coffee hour. Ms. Martin will join us again on March 4 th to provide a workshop on Sacred Dying. This will be a much involved and open discussions on many topics related to securing your plans for your family s future as well as the future of Saint Timothy s. Please mark your calendars and plan to join us. This should be an informative day for all of us young and old. You should expect to receive a letter from the committee within the next month. We are sending this letter to reacquaint the parish with what the Endowment Fund is for and how it works. There are a few short questions and if you are already a member of the fund we would really appreciate your response. If you are not, but are interested in knowing more there is a box to check for you also. Currently the Fund continues to grow and today is worth $348, So far there has not been a distribution of the fund and in 2016 the Committee recommended to the Vestry that no distribution be made for It is the intention of the Fund that the corpus will never be touched. Only the gains made from the corpus are available for distribution and even that is limited. Please speak to one of us for more information.
