ON TUESDAY, AUGUST 9TH, PRES-IT: The Rev. Dr. J.B. Webb (in the Chair), the Rev. C.F.B. Naud6, the Rev. Fr. George Sidebotham, C.R., Mr. F. J. van Wyk (Hon. Secretary). APOLOGIES: Mr. 7. L. Yaree (Assistant Secretary). 1. OP7NING PRAYER: The Chairman opened the meeting with prayer. 2. CONFERNCE MJE After careful consideration, IT!;'AS AGR2= (a) that the conference be held at the University of the Uitwatersrand; (b) that the University be asked to provide its hostels to accommodate the conference delegates; (c) that the member churches be requested to instruct all their delegazes, even those living in and around Johannesburg, to live on the University campus for the duration of the conference as far as was humanly possible. The Secretary reported that the University had tentatively ng-oc(l to provide accommodation for the conference and that the question of hostel accommodation was being considered. If the hostels were made available, it might be necessary to appoint staff as the hostel staff would be on leave at the time of the conference. 3. CMPERNC3 PROGRAM : The Chairman presented the draft programme which had been prepared by Dr. Bilheimer. The following-points raised by Dr. Bilheimer were considered: (a) Topics III and IV: Dr. Bilheimer had suggested that these be considered together. IT/ p -2
4 IT WAS AGRED that those groups which wished to consider them together, could do so, but that some groups might wish to consider them separately and divide the time provided between the two topics. (b) Groups. IT *7AS AGREED (i) that the conference delegates be divided into seven groups, each group to be representative of the eight member churches; (ii) that the groups should remain unchanged for the duration of the conference. (c) Group Leaders. 1T WAS A GREED that the World Council of Churches be requested to appoint its representatives as group leaders. (d) Rapporteurs, IT WAS AGREED that each of the member churches be requested to appoint from among its delegates one person to act as rapporteur. (e) Steering Committee. IT WAS AGREED (i) that the Conference Chairman, the group leaders and the rapporteurs be requested to act as a Steering Committee; (ii) that the Steering Committee should meet each day at lunch time, except on Sunday, 3ecember 11; (iii) that the Steering Committee be asked to prepare a draft conference statement for consideration on the last day of the conference. (f) Formulation of Conference Topics. IT WAS AGREED that the five conference topics, as formulated by the Planning Committee on July 19th, 1960, (see Annexure "A"), should be the conference topics. (g) Bible Study. IT WAS AGREED (i) that the Secretary should keep in touch with Professor Maxwell; (ii) that the Executive Committee would meet later to appoint the Bible Study. leaders from the delegates of the eight S.A. member churches. (h) Sunday, December 11. IT WAS AGREED (i) that arrangements be made for conference delegates, both South African and W.C.C., to take pulpits in the various Johannesburg congregations on Sunday-morning; (ii) that a public meeting or service be held in the University Great Hall on Sunday-afternoon; (iii) that/ (iii) that the W.C.C. be asked to request one of its high-ranking delegates to address the meeting in English; (iv) that the Rev. Dr. A.J. van der Merwe be invited to address the meeting in Afrikaans; (v) that the subject of the two addresses be "The Witness of the Church". (i) Conference Delegates. IT WAS AGREM that the Chairman should write to the heads of the eight S.A. member churches requesting them to submit the names and addresses of their
5 delegates to the Secretary not later than the end of September, 1960, with a view to the various arrangements that had to be made. (J) Conference Observers. IT WAS AGREED (i) that, subject to the approval of the W. C. C., each member church be allowed to send, in addition to its official representatives, not more than five observers to the conference; (ii) that the observers should be church leaders; (iii) that observers would not participate in the deliberations; (iv) that the observers would be asked to make their own arrangements for accommodation, meals, etc., but that they should not ask to be accommodated on the university campus. (k) Prayers for the Conference. IT WAS AGREED that the Chairman should write to the heads of the eight member churches asking them to urge that their churches should remember the conference in prayer and that a special Sunday, if possible, Sunday, December 4, be set aside for special prayer. (1) Conference Schedule. IT WAS AGREED to approve, with certain minor amendments, the draft schedule which Dr. Bilheimer had kindly submitted to the Executive Committee (See Annexure "A"). 4. B fing ACCOUNT: The Secretary reported that a banking account for the conference had been opened. Dr. Webb handed the Secretary a cheque for 250, being the contribution of the Methodist Church of South Africa to the onference expenses and to the grant of 1000 to the W.C.C. by the S.A. ohurches towards the expenses of the W.C.C. delegation. 5. MINUTES OF THE FXECUTIVE COMMITTEE: IT WAS AGREED that the Minutes of the Ekecutive Committee be sent to all members of the Planning Committee. 6/ CLOSING CLOSING PRAYER: The Rev. C.F.B.
