1 GUIDELINES FOR SACRISTAN The Sacristan is a cook designated to be in charge of all "sacramental needs during the Cursillo weekend. He or she works closely with the Rector or Rectora, Head Cook, and the Priests. The following are guidelines of the responsibilities of the Sacristan. PRE-CURSILLO PREPARATION 1. Pray for the weekends in general and for specific team members and candidates by name as you learn their names! Remember to be humble, and do not worry too much about details. Ask if you have questions. Normally, the priests are somewhat casual in what they expect because they realize you are probably not a member of the altar guild. 2. Be familiar with the "Sacristan's inventory". Verify the accuracy of the various inventory lists by personally inventorying the supplies. Or, you can ask the Head Cook or one of the assistants to check the Sacristan supplies when they go to Camp Stevens before the weekend to check all supplies. Ask the Head Cook to take a copy of the various inventory lists to Camp Stevens to check off each item. Also determine if the supplies are being used by the Spanish Cursillo community, should their weekends be held before the English speaking weekends in the Fall. If so, arrange for delivery of the supplies to the Sacristan or Camp Stevens before the Men s weekend, so inventory can be checked and needed supplies obtained. 3. Most decisions on what to do and where to set up are yours as Sacristan. Inform the Clergy & Head Cook of your decisions, or ask them for their suggestions. Determine from Rector, Rectora or Head Cook the logistics of the camp: a) Location of chapel - what services will be performed there? b) The locations of the following: Commissioning ceremony, blessing of aprons, "Sin and Reconciliation", and "Foot Washing. c) The primary and alternate locations for the guest Eucharist on Sunday morning. d) Work for one person- the Spiritual Advisor. Arrange this before the weekend with the Rector or Rectora. The Rector or Rectora may give you direction. However, one boss works best. 4. Determine from the Head Cook: a) Where to set up for the daily Cook's Eucharist. Avoid setting up the night before in the kitchen. The altar set up may have to be moved by the cook team in the bustle of preparing breakfast the next morning. An alternative location is on a table in the dining room. b) How the table for the Unseen Guest" (Jesus Christ) will be handled. Two alternative locations are: a) at a place setting at one of the tables, with the setting location moved for each meal, or b) on a card table moved to different locations near the dining tables. c) Where the Sacristan's working areas will be located. d) Request to have an assistant Sacristan assigned. You will need help. 5. Determine from the Priests: a) Type of wine and wafers or bread to be used - anything they want to use that is not on the "Sacristan's Inventory" is their responsibility. Tawny Port rose wine seems to be a favorite. If the bread is to be made fresh, two alternatives exist. Use the recipe provided with this notebook. Or, contact a bakery to see if they will make the bread to your specifications. Generally, the communion bread will be made in a round loaf form with a simple cross on each loaf. It is possible that a bakery will make the bread in less time and less expense than you can do. b) Find out any special preferences they want for altar or chapel set up. c) Vestments - Priests provide their own. The Sacristan does not wear vestments. d) Some clergy prefer quality paper products instead of linens. Check with the Spiritual Director well before the weekend. 2 6. Things to bring: a) Enough bread and wine. See amplifying notes later on in these guidelines. b) Check with the Head Cook to see where the iron and ironing board are in the kitchen or bunkhouses. Be sure the iron at Camp Stevens is working properly. You can bring your favorite iron if you want to. c) Soap to clean linens is in the storage shed. The best product to use is BIZ. You may use a similar product. Follow the detailed directions on cleaning the linens found later in these guidelines. d) Your own copy of the Rector/a's weekend schedule. Annotate all Sacristan duties. e) Small tablecloth to use for the table for the Unseen Guest and fresh flowers for the vase. Also arrange to bring fresh flowers for the altar for each service. They may be stored in the chill box in the kitchen if the ambient is too warm to keep the flowers fresh. f) Tablecloth to use for the altar for Eucharist services. g) Consider arranging for the various services to be typed from the prayer book to 81/2 by 11 sheets of paper to avoid having to use the prayer books as much. These services may already exist on paper, which means no one would have to type or scan the services. If the services are transferred to computer disks, then the Weekend Support Team can update them or provide copies of the services you or the priests want. II. TEAM MEETINGS A. Pray for the team members and candidates by name. Coordinate receiving the written prayer requests from the team members. A small box, paper slips and a few pencils are sufficient if located at the entrance to the meeting room. Be sure an announcement is made early in the meeting that prayer requests can be made in writing. Consult with the Rector or Rectora to determine how the prayer requests will be announced. Often they are included in the prayers of the people during a service. B. Men's and women's Sacristan coordinate with Rector, Rectora and Priests for any sacramental needs during team meetings. Set up for team Eucharist whenever desired by the Rector and Rectora. C. Any sacramental materials or supplies needed at meetings should be arranged for in advance with the "Materials and Supplies" chairman on the Secretariat. The host church should provide most things. Verify with the Rector or Rectora that desired materials are available. D. Ask the priests at the team meetings what type of wine and bread they want to use on the weekend. They may want to bring their own. They may not care or may have special requests. Ask the Assistants to find out when they go to Camp Stevens before the weekend if there is any wine in the storage shed at Camp Stevens. If so, find out how many bottles and color (red, rose, or white). Often red or rose wine is preferred with homemade bread. Four 750 ml bottles of wine should be enough for a normal weekend of 100 people. All the wine should be of the same brand and color. Confirm this estimate with one of the priests. Various places have the wine. One is O Conner s Church Goods store on El Cajon Blvd. You could check with your altar guild or priest at your parish. The bread can be baked before, or on, the weekend by one of the team members (not you) and stored in sealable plastic bags in a kitchen storage area. You do not have to refrigerate or freeze the bread if you have properly sealed it. Each loaf using the recipe (found elsewhere) for small round loaves provides enough bread for 60 people. So, for a cook s kitchen Eucharist with up to 30 people, half a loaf should be enough. Have some in reserve, if needed. Often, the Sacristan personally buys the wine and bread, if his or her church cannot provide it. Ask for reimbursement from the Secretariat through the Rector or Rectora. If you decide to use wafers, O Conner s also sells these. Estimate the number of wafers or bread needed for the entire weekend so that you can tell the person baking bread. If desired, you can buy individual packages of wafers to have one per communicant at each service. Sacristan Guidelines Printed 12/26/01 2

3 You should have a total of eight or nine services. A high estimate of the total number of communicants per service is also given): Thursday night team Eucharist people or 1 loaf) Friday morning cook s Eucharist (30 people or 1/2 loaf) Friday Rollo Room/candidate Eucharist people or 1 1/2 loaves) Saturday morning cook s Eucharist (30 people or 1/2 loaf) Saturday Rollo Room Eucharist (50-80 people or 1 1/2 loaves) Saturday evening Eucharist (perhaps) ( people or 2 loaves) Sunday morning cook s Eucharist (30 people or 1/2 loaf) Sunday morning Guest s Eucharist (60-80 people or 1 1/2 loaves) Sunday afternoon Open Clausura Eucharist ( people or 4-5 1/2 loaves) Totals: 8-9 services( people; /2 loaves) E. Arrange to group with someone at team meetings. F. Be sure the Assistant Rectors or Rectoras have arranged for sufficient crosses for the new Cursillistas at open Clausura. Be sure they also account for all team members who are working their first weekend in the San Diego Diocese. They receive crosses after all the former candidates receive theirs. G. Get your own copy of the weekend schedule from one of the Assistants, including any special detailed schedule for the cooks. Also ask the Assistants to inform you of any time or location changes for services throughout the weekend. III. WEEKEND RESPONSIBILITIES A. Thursday 1. Arrive early enough to coordinate and set up for the evening Eucharist, Commissioning ceremony and blessing of aprons as scheduled. 2. Arrange for help in advance through the Assistant Head Cook-Camp. The palanca people can help after Friday afternoon, after the palanca bags are distributed. It is easy to become exhausted, unless you pace yourself and get help throughout the weekend. Take naps. Even if you have an assistant Sacristan, you will need help. Be sure to ask for help with chapel set ups. 3. Decide if and when you want to help the cook team (whether assigned to a specific team or not) in your free time, which is not much. 4. Get all supplies from the Head Cook or person in charge of the storage shed. Double-check against the inventory at the back of this notebook. Most Sacristan's supplies are just to the left as you enter the shed. If any wine or bread or other Sacristan supplies are needed, go into Julian to buy them. However, you will need cash, not checks. The foot washing pans make excellent carryalls and wash pans. All these pans are used Friday night for Foot Washing, but otherwise are available. 5. Set up the Sacristan working area(s). Inform the Head Cook and both Assistant Head Cooks. The kitchen is inconvenient because of the number of people and activity occurring. You may decide to use a part of the dining room in the Dining Hall. Also using the kitchen in the Blum Lodge is possible to wash vessels and linens. Have two areas for supplies of prayer books and linens to minimize the amount of supplies to move from place to place. One area could be in the main kitchen and another in the library, chapel Sacristy, or kitchen in the Blum Lodge. 6. Set up the chapel in the Blum Lodge. Be sure the oil levels in the candles for the altar are full. Oil is available in the Sacristy. Use white candles for all services. You may decide to set up a reserve sacrament in or near the Sacristy. Untended lighted candles are not a good idea for fire safety reasons. 7. Set up for the Team commissioning service if one is to be held. Determine from the Rector or Rectora if there is to be a Eucharist. Arrange with the Head Cook to have aprons put on the altar, if that is desired. The blessing of the aprons may be done on a table in the Dining Hall. Clean up after the team commissioning. Remind the priests and the Assistant Rectors or Assistant Rectoras to arrange for chalice bearers and readers for the lessons and psalms. Normally, you do not personally arrange for the chalice bearers and readers. Sacristan Guidelines Printed 12/26/01 3

4 8. Set up for the Cook's Eucharist held Friday morning. Consider setting up the altar in the dining room, instead of the kitchen. The kitchen may be too busy in the morning and the cooks may have to move the altar set up, causing you to have to move the service location anyway. 9. Prepare the chapel for the candidates' morning meditation. The Blum Lodge Chapel can be set up using one rectangular table from Camp in front of the fireplace, with the tabernacle and credence on the raised hearth. Use a votive candle for the sanctuary lamp. In the Blum Lodge Sacristy, some of the vestments may belong to Cursillo. Currently, we do not have enough Cursillo Sacristan vessels. We need to use some of Camp Stevens vessels in the Sacristy. Be sure of what you use from here so that you can return it clean to the proper place in the Sacristy. 10. There is a register of services in the Sacristy. Ask your spiritual director if we should record our services. Normally, they are not recorded. 11. Pray for the candidates, and any special prayer requests throughout the weekend. Pray for the team members by name, including both men and women. Be sure the team posts a prayer concerns chart in the kitchen. Also be sure a box or can is in the Rollo Room or just outside the room on a table for candidate and Rollo Team member prayer requests. 12. Throughout the weekend, keep altar linens clean. If using paper, burn the used paper and scatter the ashes after they are cooled. 13. It might be appropriate to remind the team about the reverence appropriate in the vicinity of the Lord s table, the elements, linens and vessels. Despite the generally informal atmosphere of a weekend, we need to show proper care and reverence. B. Friday 1. Set up the table and place setting, including flowers, for the Unseen Guest at all meals. The flowers should be real and fresh. A card table from the Blum Lodge storeroom can be used. Use a large tablecloth over the table. Protect the flowers by keeping them in the chill box. Be sure to ask permission of the Camp Stevens weekend host person to cut some of the flowers at Camp Stevens. One of the Assistant Rectors or Rectoras can do this for you. Change the location and the flowers for the table for the Unseen Guest from meal to meal. The first meal on Friday and the last meal on Sunday do not require the table. 2. Clean up after the cook's Eucharist (wash linens, put away prayer books, clean surfaces) 3. Clean up the chapel after meditation. When the outdoor chapel is used, it needs a wash down (altar & credence table) daily. The wind is troublesome, making it difficult to keep candles lit. Take masking or double-faced carpet tape to secure the altar cloth. You may want to use "liturgical" rocks! A wheeled trash can or wheel barrow is very useful getting everything, including prayer books, to and from the outdoor chapel. 4. Set up for the candidate's Eucharist. Determine from the individual priests where each service will be held. Then double check with them if inclement weather is likely. Be prepared for last minute switches of location. 5. Set up for "Sin and Reconciliation" and "Foot Washing". Coordinate with the Priests and Head Cook. Normally, the Sacristan has little, if any, participation in setting up or cleaning up for Foot Washing. 6. Clean up after "Sin and Reconciliation" and "Foot Washing" with the help of the whole kitchen team. Pack up all materials and see that they are put back in storage shed. Place all wet towels in large trash bag designated for dirty Cursillo laundry. 7. Set up for the morning meditation. 8. Set up for the cook's Eucharist. Sacristan Guidelines Printed 12/26/01 4

5 C. Saturday 1. Set up the table and place setting, including flowers, for the Unseen Guest at all meals. 2. Clean up after the cook's Eucharist. 3. Clean up after the meditation. 4. Prepare for candidates' Eucharist and clean up after the service. 5. Prepare the chapel for evening use. 6. Help setting up for the special dinner and cleanup afterwards. 7. Clean up the chapel. 8. Check with the Rector or Rectora to see where the morning meditation will be held. 9. Set up for the meditation. D. Sunday 1. Set up for the guests' morning Eucharist and clean up afterwards. The guest Eucharist may be held in the Dining Hall or Bishop s Lodge in case of rain. It could also be held in the amphitheater or the outdoor chapel. You may use the coffee table, the small couch (less cushions), or a dining room table as the altar. A kitchen cart can be the credence table. If the Eucharist is held in the amphitheater, everything needs to be carried there. A pickup truck should be used to carry supplies back and forth. 2. See that the Unseen Guest supplies are packed away after lunch. 3. Clean and pack away all chapel materials not needed for a Clausura (Check to see if prayer books are needed). 4. Put all packed materials in the original boxes and put in the storage shed. 5. Set up for the Clausura Eucharist. Make sure sufficient Cursillo crosses are available. You may use a dining room table as altar, kitchen cart for the credence table, and a second kitchen cart for the tabernacle. Reserve sacrament must be consumed at this Eucharist. You may use the Unseen Guest card table for the large cross with Cursillo crosses. Use the kneeler from the shed. 6. Clean up and put away all materials from Clausura. 7. All materials are returned to the Shed person, or other designated person. 8. List any items needed for next Cursillo (wine, wafers, bread, candles) and hand list to Storage Shed Person. 9. Return this notebook to an Assistant Rector or Rectora. This notebook will then be returned to the Weekend Support Committee. 10. The men's Sacristan needs to coordinate with the women's Sacristan at the end of the men's weekend to decide who washes the altar linens and gets them back to the women's Sacristan. The women s Sacristan may prefer to take the soiled linens and have them cleaned. Also, any linens that are no longer usable may be disposed of through a church. An altar guild representative can help with this task. Sometimes linens can be refurbished and used again. 11. Try to write a lessons learned report. At least give a verbal report to the Assistant Head Cook-Camp so that the Rector or Rectora will have an input to give the Secretariat after the weekend. Your recommendations will be used to update this notebook. 12. Give any expense receipts to the Rector or Rectora for reimbursement from the Secretariat Treasurer. LAUNDERING ALTAR LINENS The laundering of altar linens should be done with reverence and patience, allowing ample time. Any wash water and even rinse water should be poured on the ground and not allowed to go down the sink drain. Residue elements of bread and wine may still be in the linens. The reverential way to dispose of this residue is on the ground. The soiled linens may need to be taken home to wash at the end of a weekend. Consider using a plastic bag to carry them. If you do not have time to wash them immediately, soak them in warm soapy water and then proceed with the following instructions when ready. Sacristan Guidelines Printed 12/26/01 5

6 SUMMARY 1. Let them soak in BIZ and water, overnight if possible. 2. Rinse Well. 3. Roll in bath towels 1-11/2 hours. 4. Iron with hot iron while VERY damp. 5. Allow to finish drying while spread flat. LAUNDERING There are many new dyes in lipstick that make its removal from the linens more difficult. Science and industry have now provided spray spot removers, such as Shout or Spray & Wash. Use them according to the manufacturer s directions, and then place the linens in a pan of soapy water. Wisk is an excellent laundering compound, but different water and ecological requirements may dictate something else. Use water as hot as your hands can stand. There is no substitute for hot water. Read the container for directions on use. Rub each article, paying special attention to stained areas and squeeze the suds thoroughly through everything. If linens need further treatment, soak in Biz, according to the manufacturer s directions. If badly discolored, place linens in a large container with water and laundering compound and simmer on the stove for several hours, stirring occasionally with a wooden spoon. Rust stains are best removed by using lemon and salt, then placing in bright sunshine. Keep moistening with additional lemon juice as it dries. PLEASE DO NOT USE BLEACH (such as CLOROX)!!! Then rinse, and rinse, and rinse again. Detergent and soap residues can cause dinginess. After rinsing, squeeze out the excess wear and spread articles on a clean terry cloth towel and roll up. In a few minutes, they will be ready to iron. IRONING With a thick towel over the ironing board, and the iron setting on cotton, iron the wrong side first, being careful to keep the seams taut and straight, and the corners square. Then iron on the right side. Pay particular attention to embroidery and mitered corners. Be careful not to let the point of the iron loosen any stitches. Lay out to dry for a few moments. Be careful not to let them dry where the wind might blow them onto the ground and thereby requiring rewashing of the linens. Next, fold and crease with your fingers. NEVER PRESS FOLDS WITH IRON. Follow the directions for folding as follows. FOLDING INSTRUCTIONS: A. Lavabo Towel: With towel open, (big hem on the bottom, cross in center or near hem) Fold in thirds, from left and right sides, with hems inside, Then fold in half from top to bottom. B. Purificator: With cross in center, fold in thirds from left to right, then in thirds again from top and bottom. Cross should still be in center. C. Corporal: With cross near bottom of hem, fold in, thirds from left to right, then in thirds again from top and bottom. The cross should be off-centered and near the hem on the right side. Water seems to be the source of some "black" residue when the iron is on high heat. Lower temperatures take longer, but seem to avoid this problem. 8 Kitchen Eucharists are often performed in the kitchen on a preparation table. Use candles and a plain wooden cross at all Kitchen Eucharists. You may use a kitchen cart as a permanent credence table. Remember to have a priest consecrate extra host at the first kitchen Eucharist for the reserve sacrament in the Blum Lodge Sacristy or chapel. Normal set-up for all Eucharists is: a Ceramic chalice/paten set b Corporal c Medium size purificator over chalice d Pall, if available e "Butterfly'' veil, if available f Oil or other candles, depending on location g Plain wooden cross h Wooden missal stand, if room is available i A "missal", if room is available. Use for Blum Lodge and outdoor services Normal credence table or area set-up is: a Cloth (varied by location) b Wine Cruet c Water cruet d Extra bread/host e Matches f Extra linens A small cruet, such as the blue/gray cruet for wine, will handle about 60 communicants. The individual slips of flash paper are placed in the bowl so that all are touching each other. Extra foil Pins for about 110 people. The pins are used to pin the flash paper to the cross.
