5 Welcome as a Catechist! Dear Catechists and Assistant Catechists: THANK YOU for coming forward to take a position as a Catechist or an Assistant Catechist in Children s Faith Formation. We appreciate you commitment to the young people of our community! We also recognize that in our hectic world, your commitment of time is often a great sacrifice. Your position as a Catechist (or teacher) is a very important element in the religious instruction of the young people with whom you will work. Whether you are teaching a 3-year-old the basics of prayer, or guiding a young person from Confirmation to a leadership role in as a Catholic Christian, you are very important part of the process. You are important for the well being of each child, and for the well-being of Sacred Heart Church. Please remember that no one has all the answers. As a staff, we are here to help you as you work with your students. We will provide you with on-going training that will help you with everything from classroom management to the important basics of our Catholic faith. We will provide you with opportunities in which your own faith might grow. And most importantly, we won t expect you to have all the answers. Please do not hesitate to let our staff know if there is anything that we can do to make your role in the classroom a little bit easier and, also, more fun. 6 Contact Information The office of Children s Faith Formation is open throughout the school year from 9:00 a.m. until 4:00 p.m. Please remember that on Wednesday afternoons when we have CFF classes, we may not be in the office after 2:00 p.m. since we are preparing for class. During holidays and summer, we will have a limited work schedule. During these times, please call or us and we will return you call as soon as we are able. 7 Emergency Information West Des Moines Police/Fire Emergency Number: 911 West Des Moines Police Non-Emergency Number: If you need to reach us for any reason when we are not in the office (to let us know you will be late, or during special events), please call the office emergency number: Each classroom is equipped with a telephone. You must dial 9 to get a line. In the event of an emergency, feel free to use the classroom phone. If you have a child that needs immediate attention, please call 911 first. If the emergency is not serious but needs attention, one of the adults in the classroom should find either Debbie Chalik or Kayla Richer. If necessary, the non-emergency number is listed above. First Aid equipment is available in the front office or in the Mouse House in a tub clearly marked, inside the door on the right side lowest shelf. Basic First Aid Priorities: 1. One of the adults in the room should get help immediately, or call 911 if necessary. 2. Do not move the child if you suspect neck or back injury. 3. Make certain the child is breathing. 4. Make certain the child s heart is beating. 5. Control severe bleeding. 6. Do CPR if necessary. 7. Treat all body fluids as potentially infectious. Universal Precautions: 1. All bodily fluids of any person should be considered to potentially contain infectious agents (germs). 2. When possible, direct contact with bodily fluids should be avoided. Disposable gloves are available in the front office and in the First Aid tub in the Mouse House. If you wish to have gloves in your personal classroom tub, please feel free to take a supply. 3. Disposable gloves, plastic bags and an accepted disinfectant need to be used for protection and clean up in all situations. All are available in the First Aid tub in the Mouse House. 4. If items to be disposed contain bodily fluids (such as bandages, disposable diapers, etc.) these items should always be placed in a designated red plastic container and securely tied prior to disposal. 7

9 Your Job as a Catechist or Assistant Catechist Introduction to the program: The work of a Catechist or Assistant Catechist is a gifted ministry to which we are called by Christ. With prayer and study, His presence will be with you in this important ministry! Your role as a Catechist or Assistant Catechist is to nurture the spiritual growth of the children with whom you work. This information will help you create an environment that is organized, productive and faith filled. Don t forget to pray for you students, for the lesson you are preparing, and for your opportunity to touch the lives of the children in your classroom. Pray for the power of the Holy Spirit in your ministry, and be an example of living faith to your students. A Catechist s Prayer Dear God, Before me, I see these gentle little hearts that You have entrusted to me. Help me to be more like them: trusting, open, loving, full of joy, impatient for life to unfold. Help me to grow in You and be a better person so that I can share myself with them. Help me to remember that each child is special, that God made each child different. What can each child show me? What can I share with each child? Help me remember that my gift of love to each child is myself, sharing my gifts, interest, and talents. Love directs me to treat each child as if he or she were the most important part of my day, a unique child of God, a work of art. Thank you, God, for this loving group of children gathered with me today. Help me guide them to your loving arms. Amen General Goals of the Program: To support families in the spiritual growth and religious education of the children in your classroom. To help the students develop a more meaningful prayer life. To increase knowledge and understanding of our Catholic Christian Faith. To encourage the students in your class to take a more active, life-long role in the parish community, both liturgical and socially. To facilitate moral growth and social awareness. To grow personally in your own spirituality. 9

10 General Procedures for Catechists and Assistant Catechists: Please arrive at least 30 minutes before class begins. If you are not able to be in your classroom by the time the students arrive (4:25/6:25), please call the emergency number: (Kayla s cell) or (Debbie s cell). Please enter these numbers into your own cell phone so that you always have them in the event that you will be late. When you arrive, your tub with your weekly mail and any special needs will be in the located on the shelves to the right inside the mouse house storage room. The first person to arrive should take the tub to your classroom. At the end of the class, please return your tub to the shelves. Textbooks are to be kept at the school and not sent home. If you need a textbook, they are available in the front office cupboards. Once you arrive, one of you can return to gather the needed books from support staff. We recycle the textbooks each year to save costs. Each student is provided with a pocket folder to take home each week with notes regarding class. All children will enter through the front door only and all other entrances will be locked during class time. Wednesday Catechists, we prefer that your children wait in the lobby with support staff unless they are at an age where they are of help to you. Please remember that you are responsible for your children if you choose to have them go with you to your classroom. They are not to roam the halls unattended and they are not to be released to their own classroom until 4:25/6:25. If you are in need of a DVD or connection to the internet, please Debbie, Marcia or Kayla well in advance. We have a limited number of computers available, so please be sure to request equipment well in advance. If you are in need of copies, please submit originals to Marcia at least a week ahead of when the copies are needed. Remember, if you wait until the last minute, we may not be able to get your copies to you on the same night. If you need any special materials, you must let us know at least one week in advance. The Catechist stipend can be used to purchase any special needs for your classroom. NEVER leave your students unattended. Please pay close attention to any notes from us, personal cards from us, or notices that need to be passed out to your students. These items will be in your tub. Music is provided each Wednesday for Kindergarten through 1st grade. We DO take attendance. Each week, your attendance sheet will be in your tub. We will collect them during class. Please contact any student who has missed two classes to be sure all is okay, and alert us if you feel we need to make a call to the family. If you find that you have disciplinary problems in the classroom, please keep the CFF staff well informed. Our primary mode of communication will be through . Please be sure that you have a working that you have given to us, and that you check it on a regular basis. If class is to be cancelled, we will not be making any calls. We will post the closure on our web site: 10

11 Classroom Etiquette You are NEVER to allow any gum, candy or food of any kind in your classroom. The gym is available for special parties, treats or activities involving painting or that might create a mess. Please refrain from sending treats home with your students except on very special occasions and please remember that we do have students in our program who have severe allergies. Several day students also have severe allergies and the presence of food in the room can create a problem. Please be very respectful of the SHS classroom teacher, her supplies, and her classroom preparation. If you move the desks, be sure to put them back exactly as you found them. Students are NEVER to be in the desks during class. We will provide any materials you need for your students (i.e. pens, paper, staplers, etc.) You will find supplies located in the mouse house storage room. If you need a vacuum after class, please see Support Staff. The trash should be removed and left in the hallway at the end of the night. If anything is damaged during your class, please notify Debbie or Kayla before you leave. If you have a chance, sometime during the year it would be nice to leave a note for the SHS teacher thanking them for sharing his/her space! General Responsibilities for Catechists and Assistant Catechists: Catechists and Assistant Catechists are eligible to receive a tuition waiver for their children who attend Wednesday CFF. To receive the tuition waiver, all Catechists and Assistants MUST attend four in-service events or a pre-approved alternative. Check with Debbie or Kayla for ideas. Catechists are eligible for a stipend for each class taught. The stipend is designed as an incentive to ensure your participation in catechist in-services and to remember the importance of classroom preparation. The stipend can also be used to purchase additional needs for your classroom. A time sheet is required to receive payment and is included at the end of this book. Every individual who works with the young people of our Diocese in any capacity must attend a one-time online VIRTUS training session and submit paperwork for a background check. Volunteers under the age of 18 are required to submit paperwork for a background check but are not required to attend a VIRTUS training session. To schedule a training session, go to the web site: You will need to register with a password and identify your home parish (which is Sacred Heart). When you have finished, please print the certificate at the end of your training and submit to Marcia. It is the responsibility of the Catechist and the Assistant Catechist to arrive on time. You should arrive 30 minutes before class begins, but no later than 15 minutes before the beginning of class on Wednesday. Each class should begin and end with prayer. Remember to do what you can to involve your students in prayer. It is essential to be prepared for each class with clear objective and lesson plans. Following the curriculum sequence is key to a well-rounded program that accomplished the goals and learning outcomes for each grade level. We provide you with a theme for each week, you will need to supplement with additional ideas. Remember, it is always important to over plan for each class. If you have projects left over, that is better than running out of activities. And if you get off message, it is often good to follow that topic if you feel it is beneficial to the students. 11

12 Don t forget to include a review of the upcoming readings for the week. This provides a good topic for discussion. If you wish to take your class on a field trip, prior approval must come from the CFF staff. Each student attending must have a signed permission form (included at the end of this book). You should identify additional parent volunteers to help you on the field trip as needed. Don t forget that you are an example to your students, and it is important that you exhibit your faith to your students through regular attendance at church and involvement in parish activities. If you are interested in opportunities for involvement, please contact our staff and we will be happy to help you! If you find that you will not be able to be present at a class, it is your responsibility to identify a substitute for your classroom. We will provide you with a listing, but we also recommend that you contact parents of a student to come into the classroom. Regardless of whether the Catechist or Assistant Catechist is absent, the substitute should act as the Assistant. REMEMBER that you are never to be alone in the classroom with your students. Please remember to notify the CFF staff if you have someone to replace you in the classroom. Please do not call us at the last minute. Have a contingency plan in place from the start. 12

15 Planning a lesson Begin your planning with prayer. Check your curriculum for your weekly lesson. Nametags are good at the beginning of the year until you know your students by name. At our first in-service of the year, we will provide an opportunity for you to meet with other Catechists at your grade level to plan lessons to jointly plan activities and events if you wish. Be sure to over-plan activities so that you do not run out of material. Keep in mind that children learn and retain more readily by doing, not listening. So plan several visual activities to reinforce your theme. Involve the children in the activities whenever possible. Activities should change on a fairly regular basis to keep the attention of the children. Remain flexible with your lesson plan. If you find that the children are engaged with a specific activity, allow that activity or discussion to continue. Grades are not to be given to students in Children s Faith Formation. Students will have expectations, but they are not to be graded. Homework may be assigned if you feel it is beneficial to the lesson. Please have realistic expectations for your students when assigning homework. It is extremely helpful to have a lesson plan in place in the event that you have an unexpected need to be absent for your class. Always approach every situation in a positive manner. Occasionally, one of our staff may visit your classroom. Please do not be intimidated by our presence. We are simply there to help you and to be aware of the classroom behavior as it pertains to some students. Don t forget to communicate classroom activities to parents. You can do that in a letter that goes home with the children each week recapping your activities. If you would rather the parents, perhaps in advance, contact the CFF staff and we will give you the s of families if we have the information in our system. Use the format below to help you plan your lesson. This lesson plan is for preschool, but a similar format can be adjusted for a Wednesday class: Sacred Heart Children s Faith Formation Lesson Plan Theme: Date: 9:00-9:15 (15 minutes) Welcoming, Attendance, Centers or Individual Activity 9:35-9:50 (15 minutes) Music 9:50-10:15 (25 minutes) Theme/Activity Theme: discussion/book/feltboard Activity: procedure, materials, explanation relating to theme 10:15-10:20 (5 minutes) Physical Activity related to theme 10:20-10:25 (5 minutes) Prayer 10:25-10:30 (5 minutes) Clean up and goodbyes Remember, it is always a good idea to have something on hand in case Mass runs long, such as a book to read or coloring sheets. 15

16 Discipline Policy Responsibility/Philosophy The parents, the Director and the Coordinator of Children s Faith Formation, the Catechist, and the student bear the responsibility for the maintenance of classroom discipline. It is our belief that discipline must be maintained in order to provide a program that will adequately meet the needs of all students enrolled. We hope that in most instances, the teacher can avoid a problem from escalating with simple discipline techniques; however, it is our responsibility to make sure the child understands the consequences of continuing unacceptable behavior. Staff will attempt to address the behavior, not the individual, and handle the problem in a calm and professional manner. If the child refuses to respond to the direction of the Catechist, the following procedure will be necessary: First Offense the catechist will either address the issue with the student, or send the student to the CFF Office on the first floor of the school. Second Offense the student will be removed from the classroom. Parents will be informed and there will be a conference between the student, catechist, parent(s), the CFF Director and/or the CFF Coordinator. Third Offense the parent of the student will be required to attend class with the student indefinitely until the student, the Catechist, and the parent believe that the student will act appropriately. Fourth Offense the student will be suspended from class and may or may not be readmitted to the class based on the outcome of a problem resolution evaluation. The resolution team will include members listed above as well as the Pastor and/or members of the Board of Religious and Academic Education. Unacceptable Behavior Parents should be aware and communicate to their children that the following behaviors are absolutely unacceptable and can result in the child being removed from class. Cursing, swearing, or using unacceptable language of any kind; Non-requested physical contact with another student or teacher, such as hitting or fighting in any manner; Any type of verbal abuse toward any person, peer, catechists, volunteer or staff. Disrespect for or abuse of any part of the parish facilities. Destruction of or tampering with property belonging to the Sacred Heart School day students located anywhere in the building (desks, lockers, cabinets, cupboards, restrooms, or hallways, etc.). 16

Wednesday CFF Classroom Assistant Session? Duties and responsibilities for all Classroom Catechists and Assistants: 1. Arrive 15 minutes before class begins. 2. Attend four in-services each year, or select from a pre-determined alternate faith-enriching event. 3. Obtain VIRTUS training through the Diocese of Des Moines in advance of school year. 4. Maintain an active membership at Sacred Heart Church by attending Mass each week, submitting yearly registration materials and regularly tithing to our parish. Additional duties and responsibilities for Classroom Catechists: 1. Prepare lessons in advance. 2. Contact CFF staff well in advance of an absence to secure a replacement in your classroom. 3. Utilize and follow the curriculum and requirements as outlined in the manual and grade-level instructional information. 4. Maintain communication with families of students. 5. Notify the CFF staff well in advance of any classroom needs or requests. 6. Provide all necessary documentation needed to receive $25 per class stipend if being paid. Additional duties and responsibilities for Classroom Assistants: 1. Be prepared to step forward as the lead Catechist in the event that Classroom Catechist must be absent. 2. Contact CFF staff well in advance of an absence to secure a replacement in your classroom. 3. Assist the Classroom Catechist with whatever is needed to help the classroom run smoothly by actively engaging with the students and participating in the instruction. 4. Help the Classroom Catechist to maintain communication with families of students. Responsibilities of the Program for Children s Faith Formation: 1. Arrange adequate space and facilities for all classes. 2. Supply all textbooks, classroom supplies and audio/visual equipment (when available). 3. Provide overall direction, ongoing training, and support to Catechists and Assistants. 4. Plan or identify in-services programs and additional opportunities for ongoing faith formation. 5.
